Job Summary:
Under general supervision, the Chiropractic Assistant supports the Chiropractor with basic clinical tasks and supports with direct patient care. Additional duties include clinic maintenance and preparation for patients. Coordinates and provides a variety of clerical/administrative duties associated with daily physician practice operations. Serves as the initial point of contact for patients and healthcare providers within the practice. Delivers the high standard of customer service necessary to maintain the overall patient experience as a member of the clinical care delivery team under the direction of the Chiropractor/Practice Director on behalf of the Community Health & Wellness Center of Valley Health Partners Community Health Center (VHP).
Qualifications:
Education:
- High School Diploma/GED or equivalent required.
- Completion of a post-secondary program in chiropractic or medical assisting, preferred.
Experience:
- More than one year of experience in a healthcare setting, specifically in a Federally Qualified Health Center (FQHC), preferred.
- Spanish as a second language preferred.
Certificate/Training:
- Basic Life Support (CPR/BLS) certification upon hire.

Essential Functions:
Performs intake duties as part of patient care workflow including escorting patients to examination rooms and preparing them for the Chiropractor; interviewing patients to obtain medical information and measure their vital signs, weight, and height; recording patients' medical history, vital statistics, and information such as test results in medical records, and completing standing order related lab work and screenings as per the Chiropractor or office policy/procedure.
- Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other healthcare professionals.
- Adjusts to fluctuating peaks in patient flow, acuity, and other operational demands while maintaining quality.
- Identifies actual or potential patient risks and communicates those risks to the provider upon recognition.
- Knows and functions within their scope of responsibility and refers clinical issues/problems beyond the scope of responsibility to the provider in a timely matter.
- Prepare treatment rooms for patient examinations, keeping the rooms neat and clean. Maintain clinical stock in rooms per office expectations. Clean rooms between visits per VHPCHC infection control policy.
Prepares timely, legible, and complete documentation in the electronic medical record of all patient care as provided by law, regulation, and established policy.
- Applies safety principles as identified by established VHPCHC policies, procedures, and protocols.
- Ensures compliance with legal issues including but not limited to patient confidentiality and risk management; ensures compliance with Health Resources & Services Administration (HRSA), federal, state, and local regulations.
- Adheres to all policies, procedures and protocols as established by VHPCHC.
Supports continuity of care for selected patients of VHPCHC as directed.
- Schedules appointments for patients requiring additional internal and external appointments as directed by the care team.
- Obtains prior authorization for medication/equipment as needed from insurance companies.
- Confirms understanding of treatment procedures, medications, diets, and clinician’s instructions to patients.
- Follows up on orders per policy, standing orders, or clinician request.
Performs a variety of detail-oriented administrative tasks that anticipates the needs of team members and patients according to the organization's policies and standard work.
- Able to handle cash and other methods of payments accurately.
- Answers telephones and directs calls appropriately.
- Communicates messages accurately and in a timely manner as determined by practice needs.
- Maintains current knowledge of insurance, managed care plans, and medical authorization requirements.
- Supports patient and providers with virtual care needs.
- Obtains and verifies insurance authorizations/precertification and completes medical record release requests and schedules/confirms patient appointments.
- Performs appropriate patient outreach include telephone and EMR messaging.
Gathers information necessary for accurate registration and check-in to fulfill service promise.
- Performs registrations, insurance verifications, scheduling, billing, filing, referral, and other clerical functions accurately and in a timely manner.
- Coordinates internal and external appointment for new and establish patients based on patient's medical need, preference, and the practice schedule.
- Treats all patients, and their families, significant others, peers, staff, visitors, providers, and professional colleagues in a pleasant and courteous manner.
- Support VHPCHC performance standards.
- Keeps abreast of changes in all insurance providers regarding coverage and reimbursement changes.
Attends and satisfactorily completes all competency trainings as required.
- Maintains log-in information for and regularly access IT systems, websites, email, etc. and that are needed to perform job duties and facilitate patient care.
Performs other related duties as assigned by management.
