THE ROLE

Position: Sales Administrative Assistant

Reports To: Director of Sales, General Manager

POSITION PROFILE:

Serves as the primary business administration support function for the hotel. This includes ensuring the appropriate maintenance of files, records, and office equipment. Will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. Responsible for developing intra-office communications and streamlining administrative procedures, providing customer service and organizing sales data.

ESSENTIAL JOB FUNCTION:

  • Coordinating and handling all sales related activities
  • Processing sales orders and ensuring that they are fulfilled effectively
  • Managing sales contracts and maintaining an accurate database of sales records
  • Collaborating with the sales team to develop effective sales strategies
  • Providing customer service, including handling customer inquiries and resolving issues
  • Creating and updating sales reports for the sales team and management
  • Maintaining and updating customer databases
  • Assisting with promotional activities and trade shows
  • Providing support to the sales team with administrative tasks such as travel arrangements, meeting scheduling, and expense reports
  • Keeping track of sales targets and ensuring they are met

DESIRED SKILLS AND QUALIFICATIONS:

Education: Two to four-year college degree or equivalent education/experience.

Experience: Hotel experience preferred

Skills and Abilities: Ability to perform critical analysis and manage wide-range of information. Excellent oral, written and presentation skills sufficient to produce hotel communications that properly reflect the Foundation Image. Listen effectively. Ability to delegate, organize complex projects and establish priorities consistent with department/hotel objectives.
