Daily Hours: 7:45am to 3:15pm
Qualifications:
· Must be 18 years of age or over.
· Strong secretarial and computer skills with a high level of attention to detail.
· Prior office experience is required, with school office experience preferred.
· Submits necessary documents to complete personal file, including 3 references, diploma, fingerprinting and background clearance form, TB test, proof of immunizations (MMR, TDaP and Flu.)
· Agrees to abide by the school policies and procedures and to carry out the director directives.
Educational Characteristics:
AA degree required.
· Perform administrative tasks efficiently and accurately.
· Proficient in Microsoft Office and Google Suite, with experience in tools such as Canva, Calendly, and Sign-up Genius. Must be able to learn and navigate school-specific software, including Transparent Classroom and Procare.
· Handle incoming calls and provide exceptional customer service.
· Meet, greet, and oversee student drop-offs and pick-ups during morning and afternoon hours.
· Develop and maintain positive relationships with parents, children, and school staff.
· Primarily assist and support the Assistant Director with daily operations and administrative tasks.
· Compose a variety of professional and accurate documents, including emails, correspondence, agendas, newsletters, meeting minutes, bulletins, and reports, in line with established guidelines.
· Help organize and coordinate internal and external school events.
· Maintain and update student records, ensuring accuracy, completeness, and organization. Follow up on missing documents to comply with school requirements.
· Monitor inventory of janitorial supplies, school supplies, snacks, and other items. Place orders as needed to maintain adequate stock levels.
· Ensure daily sign-in and sign-out records are accurate. Print and manage daily attendance reports for students.
· Notify or call parents promptly when their child is ill or regarding other matters as requested.
·Schedule school tours according to the enrollment process, as well as job interviews and parent meetings upon request.
· Maintain and manage meeting schedules on calendars, ensuring accuracy and notifying relevant individuals of updates.
· Provide technical support to staff, including installing apps on school iPads and computers, troubleshooting login issues, setting up Microsoft Office, and offering general tech assistance.
· Demonstrate a strong ability to learn new processes, systems, and skills quickly, adapting effectively to the evolving needs of the school.
·Maintain close communication with the Assistant Director, Educational Director, and Board of Directors, keeping the team informed of daily events.
· Attend general school functions as requested.
· Interpret and communicate the school's educational philosophy, policies, and procedures to parents, children, prospective families, and colleagues.
· Maintain confidentiality in all school matters.
· Exhibit courtesy and professionalism when interacting with children, parents, teachers, and colleagues.
