The Ina Levine Jewish Community Campus is seeking a dedicated and proactive Assistant Facilities Manager to join our team. The Assistant Facilities Manager will be responsible for implementing maintenance schedules, coordinating repairs, as well as assisting with the events department. Requirements:Key Areas of Responsibility:
MAINTENANCE
- Assist Director of Campus Facilities and Operations as needed.
- Assist in the management and oversight of daily operations of the facilities team.
- Coordinate maintenance schedules and record keeping for all equipment and facilities.
- Manage supplier, vendor, and tenant relationships to ensure service quality and compliance with contracts/leases.
- Assist in the management and oversight of janitorial operations, inventory, and staff.
- Available for call outs on emergency maintenance issues and alarms.
- Perform ground landscaping duties as scheduled and impromptu.
- Pool and spa maintenance as needed; CPO Training will be provided at no cost.
- Perform minor building maintenance work.
- Miscellaneous clean up as needed.
EVENTS
- Plan, design and produce events at the Campus while managing all project delivery elements within a timely manner.
- Oversee, manage and schedule Campus event setup.
- Work with Campus event setup/maintenance staff to ensure events are setup timely and correctly (hands on as needed).
- Responsible for directing and managing Campus events to ensure adherence of guest expectations.
- Work with other department heads to plan, design and execute their events inter-departmentally.
- Plan, manage and execute conferences, bar/bat mitzvahs, parties, trade shows, sales meetings, internal meetings, donor events, showers, etc.
- Prepare, create and finalize contracts and proposals for each event on the ILJCC Campus.
- Negotiate contract fees and upsell as needed to internal and external clients.
- Manage and maintain event scheduling program and system, working with IT as needed.
- Create plans for each event as needed.
- Work with the Director of Security to ensure proper security coverage for each event.
- Maintain and increase revenue to achieve budgeted goals.
- Manager on Duty for all events, internal and external.
- Work with clients as needed to set-up, dress, and finalize the event spaces as needed.
- Oversee onsite housekeeping company to maintain standards of the ILJCC.
- Maintains close daily contact with staff, managers, internal volunteers, external volunteer groups, and business to receive/provide information, discuss issues, explain activities, and coordinate the implementation of events, as well as communicate mission, goals, and exchange information.
- Responsible for finalizing deposits, balance payments and invoicing for all clients as needed.
- Point person for Off Duty Police, EMT, and/or Fire Department for each event as needed.
- Responsible for PO’s and Invoice processing event related purchases, as well as Campus related purchases.
