Job Requirements Summary:
The Property Manager is responsible for the performance of each property by creating a stable occupancy rate through the retention of tenants and ensuring the company is providing the best and timely service to its tenants. Must be able to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate courses of action when dealing with all tenant relations including complaints and concerns. The Property Manager must be able to communicate effectively with the Regional Manager on a regular basis and ensures all necessary paperwork is complete, correct, and timely. The Property Manager will enforce the lease and ensure tenants’ compliance with lease agreement and Valley Rental policies, while following all state, Americans with Disabilities Act and Fair Housing laws.
Duties and Responsibilities:
1. Present and maintain positive tenant relations and team member attitudes, know/greet people by name.
2. Tenant Relations: Listen, understand and work to resolve any tenant complaints.
3. Incident Reports: Immediately report all emergencies, incidents and unsafe conditions to Director/Regional Manager and complete the required incident report including calling the police, speak with witnesses and taking photos, as applicable.
4. Inspect designated properties using checklist at least once per month and drive all properties weekly. Pick-up trash, write up any work orders.
5. Check scanning: Ensure checks are collected and scanned daily; assist tenants with ledger questions.
6. Lease: Complete lease renewals ensuring accuracy of required paperwork and communicate tenant requests.
7. Lease: Coordinate lease renewal letters with Office Manager.
8. Lease: Initiate lease terminations and non-renewals for non-account related lease violations.
9. Lease-Fees: Follow the Residential Charges policy and procedure. Use tenant fee schedule to apply charges.
10. Lease-Court: Attend evictions or small claims court as requested by supervisor.
11. Vacant Units: Verify that any received electric bills are accurate for tenant or VRS.
12. Check-outs: Schedule and complete all tenant checkouts.
13. Check-ins: Assist Leasing Agents with check-ins as needed; update tenant information in Yardi.
14. Maintenance: Assist, inform and monitor ongoing maintenance requests.
15. Pets: Approve all new pet paperwork and update Yardi with information.
16. Pets: Enforce dog DNA testing, collect samples and send waste infractions.
17. Team: Work flexible hours, which includes after hours and weekends, including on-call as needed.
18. Team: Attend weekly team meetings, present information you are responsible for and provide input to continue and improve tenant relations, policies and have a positive working culture.
19. Team: Participate covering the Front Desk with phones, tenants, vendors, and guests.
20. Training: Attend any required training scheduled by the company and as part of your annual review goals.
21. Dress Code: Present a professional image and positive attitude at all times.
Job Qualifications and Skills:
This position requires excellent, positive, timely verbal, non-verbal and written communication skills. A minimum of one [1] year experience in property management and/or a two-year degree in a management, marketing or business related field is preferred. Must have full working knowledge and proficiency of information systems including Microsoft XP personal computer operating systems including Excel and Word and a rental management system Must be able to solve in-depth Resident problems completely and with minimal supervision. Must have a valid driver’s license and automobile insurance. Must comply with all federal and state laws, regulations and guidelines including the Fair Housing, Americans with Disabilities Act and the applicable state landlord/tenant rights. Must learn and comply with all company safety rules and systems. Must fulfill the performance standards of this position and comply with policies, procedures, rules, business practices and customer service principles of the company, including those set out in the Employee Handbook, or otherwise communicated (verbally or in writing) to team members. The job responsibilities of this position will include cross training in other functions or positions to ensure satisfactory operation of the department, work area and/or company. Including, but not limited to:
1. Leasing Department: A Property Manager (PM) shall understand and support the role of the Leasing Department by providing assistance to applicants who are paying an application fee, delivering an application, or need assistance when a leasing agent may not be available. Know how to process credit card payments, understand the automatic rent payment program and complete written communication to the leasing agent whose applicant you assisted.
2. Account Manager: The PM may take a rent or infraction payment and forward to the account manager.
3. Collections: The PM may participate in collecting amounts due from tenants.
4. Financials/Budgets: with training, the PM may provide information for budgets and/or reviewing financial performance of assigned properties.
5. Website: visit and read the company website and provide input to supervisor, to ensure accurate updates.
