Essential Functions of the Intake Coordinator (AAI):
- Ensure team members are providing services per the approved program description on Google Drive to meet the program objectives through session observations, direct service monitoring, and supervision. Each direct report is responsible for 748 hours annually of 1:1 instruction, and supervisors should be knowledgeable of assigned service levels.
- Provide intake services to every client referred to the AAI program and coordinate the initial transition with the assigned Life Skills Counselor. The coordinator will ensure that every aspect of the intake policies and procedures are followed, including meeting the contract timelines. This includes completing the re-offer for services as needed. The coordinator is responsible for completing a minimum of 440 hours of 1:1 services per year.
- Maintain and carry out all NYTD (National Youth in Transition Database) assignments per the NYTD policy and CYF protocols. Be the primary liaison for credit report disputes for eligible clients per the credit check policy.
- Monitor and review the completion and timeliness of all documentation and paperwork required as outlined in the AAI required paperwork document and the approved program description.
- Be the primary liaison between the Child Welfare supervisors and Valley Youth House, ensuring regular communication and timely responses. Lead a motivated team that can work independently and make decisions with minimal direction by providing instructive and supportive supervision to direct reports 40 hours a year in a formal setting and running a monthly L10 team meeting per the L10 procedure.
Core Functions of the Intake Coordinator (AAI):
- Ensure every member of your team understands the Mission of the agency and works in accordance with our values and theoretical perspectives (positive youth development, strengths-based, solutions-focused, trauma-centered healing, and restorative justice).
- Interview, hire, and onboard AAI employees within 4 months of posting available positions in collaboration with the Associate Director and implement and monitor new employee training for assigned team members.
- Review employee credit card reports monthly, ensuring spending is in compliance with program and agency guidelines, reporting any issue or discrepancy to the Associate Director upon discovery.
- Ensure crisis and critical incidents, as de?ned by the agency, county, state, or federal regulations, are addressed, reported, and reviewed according to the agency's formalized practice and protocols found on The Hub.
- Participate in the on-call rotation as required by the On-Call Calendar (Fully staffed: 7-week rotation beginning at 12:01 am Saturday and ending at 12 am Friday.) Keep the agency phone on you, answer within an hour, and remain within an hour of the York office.
- Process informal and formal client issues, concerns, and grievances from a positive youth development perspective and according to official program practice as outlined in the program description.
- Complete 40 hours of relevant training annually to ensure a high competency level in daily work.
Other Duties:
- Work a minimum of 24 hours per week in the office. The remaining 16 hours can be worked from home or in the field, depending on need. Evenings may be required to assist with classes, events, and direct report needs.

- To attend and engage in team and all staff meetings.
- Complete other related tasks as appropriate or assigned.
Minimal Qualifications for the Intake Coordinator (AAI):
- An associate's degree in Social Work or other related field.
- One year of experience in a supervisory role or mentoring your peers (includes the VYH peer mentor program) or proven leadership abilities or have/will complete a leadership development course like Leadership VYH or Leadership York.
- Two or more years of experience working with youth and young adults.
- Ability to work a hybrid schedule that includes evenings.
Preferred Qualifications:
- Knowledge of the York County Child Welfare system and York County resources and service providers.
- An understanding of the barriers and challenges that youth face because of being involved in the Child Welfare system.
- An understanding of the unique challenges faced by employees working in a high trauma environment. An understanding of Vicarious trauma and symptoms is a plus.
- Ability to utilize Google Workspace and an Electronic Health Record/Case Management system.
