How you will contribute
Valmont is currently seeking a highly motivated and talented individual for the Administrative Support Specialist position at the Claremore Coatings Division. We are looking for a highly driven, bi-lingual individual with excellent communication skills, attention to detail and the ability to multi-task. Essential Functions include :
- Greet and provide customer service for visitors
- Operates telephone console to receive incoming calls; Screens and directs calls to appropriate destinations
- Records complete phone messages and emails to appropriate staff members.
- Keeps track of staff for the purpose of making / directing calls
- Accepts packages, documents receipt, notifies department for pickup
- AP matching; ensuring POs and packing slips and bill of ladings match
- Provides translation support for site leadership in both verbal and written communications
- Participates in new employee orientation as support to the HR Manager with non-English speaking employees
- Serves as back-up for order entry of shop orders in VCC Max
- Alerts plant leadership of expedited orders when requested
- Tracks certificate of insurance updates
- Completes vendor setup in QAD through shared services and prints quarterly and bi-annual vendor reports
- Request and track new customer credit applications
- Monitors office supply inventory and distribution
- Opens, date stamps, and distributes mail daily as soon as received
- Always maintains staff confidentiality
- Maintains a professional appearance
- Maintains a professional and courteous attitude
