VBCH is seeking a friendly and courteous individual to join our Reception Team. Our receptionists are a vital part of the clinic team, as their faces are the first ones that our patients see and their voices are the ones that patients hear on the phone. They set the tone for the rest of the patient visit and are responsible for making sure our patients always feel welcomed to VBCH. Candidates for this position must be a good multi-tasker, a self- starter and have excellent customer service skills.
This position is part of a team that is responsible for scheduling and registration for all areas of the hospital, and as such, the right candidate must be willing to cross train to all other registration areas within the hospital. As part of the registration process, this position is responsible for collecting correct patient information, including demographics and insurance information, as well as collecting co-payments. In addition, this position is responsible for managing all provider schedules, answering incoming telephone calls, managing patient work queues, and scanning patient information into our Electronic Medical Record system.
While this opening is primarily in our Keosauqua Clinic, the selected candidate will be required to cover in the other rural health clinics as needed. They will also be a part of our Saturday clinic rotation. This position is full-time, 72-80 hours per pay period.
Position Essential Functions
- Demonstrates and practices good customer service skills/relations on a daily basis, keeping in mind that this position may be the first face of VBCH the patient/family encounter that helps make an excellent patient care experience.
- Promotes “teamwork” between co-workers and hospital departments.
- Performs job in compliance with hospital and clinic policies and procedures, professional and community standards.
- Assists in registration for clinic, as well as ED, Med-Surg Floor, and all outpatient services
- Collect co-pays or money on account, issue cash receipts and note payment appropriately.
- Handling all medical records that need to be scanned into the computer system.
- Responds to inquiry calls from patients or other health care providers.
- Schedules appointment for clinic visit or referrals
- Maintains patient, employee, and confidentiality in all aspects of the job.
- Protects confidential documents in a manner that prevents unauthorized access.
- Become familiar with and follow the HIPPA policies as outlined in the manual.
- Checks Revenue Cycle work queues (as assigned) and fixes issues that are identified.
- Review inbox and follow-up as needed at various times during the shift.
- Scans reports, consents, driver’s license, etc. as needed into the EMR.
- Faxes information to Nursing homes, pharmacies, other hospitals as required or asked.
- Actively participates and searches for opportunities for personal and professional growth and to help others.
- Stocks supplies in area.
- Operation of various office machines, i.e., fax, copier, computer, transcription equipment.
- Assists with location of medical records.
- Performs miscellaneous office duties, i.e., filing, and/or retrieving medical records, tapes, reports, mailing, dictation, perform secretarial duties.
- Light housekeeping on a daily basis including dusting, wiping down all fixtures, cleaning toilet and vacuuming.
- Willingness to cross train in other registration areas in the facility.
