Service Administrator – Aerobic Department
About the Role: Van Delden Wastewater Systems is seeking an in office, full-time Service Administrator to perform administrative duties within our Aerobic Department. This role includes auditing and processing service forms and invoices, while supporting customers, technicians and Service manager with a variety of tasks. Key Responsibilities:
- Audit approximately 30-40 service forms daily, ensuring accuracy and quality control.
- Creating and processing invoices for the department, including correspondence with customer, processing payments, etc.
- Respond to customers service inquiries promptly via phone, text, email, etc.
- Communicate effectively with technicians, providing support and guidance.
- Encourage and lead technicians while maintaining a respectful and team-oriented environment.
- Cross train for serving as secondary to:
- Schedule and dispatch for maintenance service and service calls for five technicians, adjusting for emergencies as needed.
- Organize technician schedules, review departments payroll, follow up with customers.
- Process new and renewal service contracts.
- Follow up with customers for expiring contracts, expiring credit cards, unsold estimates, and outreach to past customers.
- Accept and process customer payments, including financing.
- Be point of contact for customer inquiries and service needs.
- Corresponding with County's regarding service contracts and obtaining copies of permits.
- Assist with receiving inventory deliveries, customer walk-ins, etc.
- Cross train and assist with special projects and provide backup support for other office schedulers when needed.
What We're Looking For:
- Experience: Office management, scheduling, or dispatching.
- Skills: Proficiency with Microsoft Office (Outlook, Word, Excel); experience with Service Titan or similar software is a plus.
- Strong organizational, time management, and multitasking abilities.
- Excellent verbal and written communication skills with a positive, customer-focused attitude.
- Ability to lead with respect and contribute to team success.
- Ethical professionalism with a clean criminal history.
Work Schedule:
- Monday to Friday, 9am – 5pm.
Compensation:
- $19/hour.
- Pay increases based on demonstrated skills and abilities.
