What are the responsibilities and job description for the Payroll Operations Coordinator position at Van Leeuwen Ice Cream?
Van Leeuwen is looking for a Payroll Operations Coordinator to join our Finance team. This role will work closely with the growing team of Van Leeuwen Ice Cream as we embark on our next stage of accelerated growth. The Payroll Operations Coordinator will work closely with Managers and Employees to ensure payroll accuracy, answering any payroll related questions that arise.
This role is Hybrid, based out of our New York office in Williamsburg, Brooklyn and will be in a minimum of two days a week.
JOB RESPONSIBILITIES
- Be the first point of contact and representative for employee questions and concerns as it relates to Payroll & Benefits
- Responsible for resolving issues such as: checks lost in transit, requests to void and reissue payments, direct deposit assistance, and checks that have been returned to TriNet as undeliverable
- Assign and escalate tickets requiring in-depth assistance to more senior team members
- Assist with certain Change of Status updates such as transfers, title changes, and off-cycle terminations
- Review time cards, tip bundles and connect with managers to ensure they have processed ahead of the deadline
- Prepare reports of relevant data for the current on-cycle payroll, including consolidated Fair Work Week reports and high priority terminations and promotions
- Audit organizational chart and personnel assignments, ensuring information is accurate and matches across all platforms
- Process administrative changes for Retirement Savings Plan such as: submitting deferral changes to HRIS and enrolling eligible employees
- Process administrative changes for Dental and Vision insurances such as: entering enrollments and ensuring COBRA information is sent to applicable terminated employees
- Adding and removing employees in expense platform, providing direct deposit submission form and expense guidelines
- Pull reports used by our team and as requested by others
JOB REQUIREMENTS
- 1 to 3 years of experience with Payroll
- Associate Degree or higher preferred but not required
- Exposure to handling sensitive information
- Experience with Customer Service facing roles
- Experience with Data Analysis
- Experience with Fair Work Week
- Proficient with entire Microsoft Suite
- Experience with a Time and Attendance Platform
- Strong Communication skills

Salary : $64,500 - $66,000
