POSITION SUMMARY
This position provides legal administrative support to a partner in the law firm of Vande Zande & Kaufman, LLP, located in Waupun, WI, including legal and factual research, composing legal documents, and other administrative functions to support the pending legal files.
ESSENTIAL FUNCTIONS
The following duties are typical for this position. However, they are not to be construed as exclusive or all–inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily. Other duties may also be required or assigned.
1. Conduct basic legal research relating to legal projects, and prepare memoranda describing results of legal research.
2. Collects, organizes, and analyzes factual information and documents relating to particular legal issues, litigation, or similar matters.
3. Organizes and maintains litigation, investigation, research, and project files.
4. Prepares initial drafts of legal pleadings and documents such as Notices of Appearance, Answers to Summons and Complaints, Affidavits, Interrogatories, Requests for Production, Subpoenas, Judgments, and other legal documents.
5. Edits legal documents for attorneys.
6. Organizes and manages Court case files; organizes pleadings, discovery, research and correspondence; prepares lists, exhibits, schedules and other information for Court proceedings.
7. Maintains scheduling calendars and reminder system for appointments, meetings, Court proceedings and deadlines.
8. Composes routine correspondence; proofreads and edits documents; enters, scans, updates, and maintains information in spreadsheets, databases, and reports.
9. Maintains electronic and paper filing and record systems to provide easy access to records and information; provides retention of records as required.
10. Performs records management duties to ensure statutory timelines are met for all cases.
11. Updates legal resources with supplements and replacement pages.
12. Sorts, indexes and files correspondence, legal documents, memoranda, reports, minutes, etc.
13. Communicates and schedules with the Courts, dates and times of Court hearings.
14. Provides administrative assistance to support staff, as needed.
15. Other duties as assigned.
MINIMUM REQUIRED QUALIFICATIONS
Associate degree in paralegal or three (3) years’ work experience in a law office setting performing the above described job functions. Equivalent combination of education and experience which provides necessary knowledge, skills, and abilities may be considered.
REQUIRED JOB COMPETENCIES
- Knowledge, skill, and ability to understand and use legal terminology, legal format, and processes.
- Knowledge of standard and legal office practices, procedures, and clerical techniques
- Knowledge of Wisconsin Statutes and ongoing statutory changes, procedural changes, and form changes.
- Skill to take notes and accurately incorporate essential details in preparing legal documents.
- Ability and skill to prepare Court documents in a timely and accurate manner.
- Ability to perform detailed work accurately and independently in compliance with stringent time limits with minimal direction and supervision.
- Ability to establish and maintain accurate records of assigned activities and operations.
- Ability to read and interpret Wisconsin Statutes and Rules of the Wisconsin Court System.
- Ability to think quickly, maintain self-control, and adapt to stressful situations.
- Knowledge of computer software including word processing, spreadsheet, and database applications consistent for this position.
- Ability to perform mathematical calculations required of this position.
- Ability to communicate clearly, concisely and effectively in English in both written and verbal form.
- Ability to apply sound judgment and discretion in performing duties, resolving problems, and interpreting policies and regulations.
- Ability to communicate detailed and often sensitive information effectively and concisely, both orally and in writing.
- Ability to handle sensitive interpersonal situations calmly and tactfully.
