The Assistant Athletics Director, Facilities and Event Management is responsible for event management of football regular season and postseason contests as well as the management of assigned facilities and administrative duties.

Vanderbilt University’s Athletics Department prepares student-athletes to become leaders and champions in life by placing the highest values on integrity, character, sportsmanship and victory. Vanderbilt is a charter member of the Southeastern Conference and is the conference's only private school. The university currently fields 16 varsity teams (6 men's teams and 10 women's teams), 14 of which compete in the Southeastern Conference.
- Responsible for game and facility management aspects of assigned sports (primarily football)
- Work in conjunction with university maintenance and grounds crew to ensure the fields and facilities are prepared to host scheduled events
- Create a plan for the operation of assigned events and work with internal and external departments to ensure execution of assignments related to event
- Including, but not limited to sports medicine, marketing, video/radio and television, director of operations for assigned sports, game officials (per SEC and NCAA regulations), plant/grounds, concessions, Learfield, VUPD, traffic and parking, etc.
- Assist with game operations for other Vanderbilt sports as directed by the Associate Athletic Director, Facilities and Event Management
- Responsible for overall leadership of home football operations
- Assist with planning of event operations for all home contests
- Assist with postseason events operations as requested
- Serve as the facility lead for FirstBank Stadium to oversee its operation and maintenance, as well as make recommendations on projects to continuously improve the facility
- Assigned facility/event management tasks
- Operate with consideration of the facility’s budget
- Maintain cleaning standards and perform routine building surveys
- Manage facilities equipment needs
- Support planning and hosting of special events within the facility, such as concerts, athletic contests, and premium events
- Support and lead facility management initiatives for the unit
- Perform, or coordinate through internal work orders or external contractors, repairs and maintenance of buildings, fields, and grounds
- Develop and support maintenance and facility improvement planning for all facilities
- Identify and implement necessary facilities processes and procedures to improve operations (i.e. custodial services, grounds, general management, etc.)
- Participate in capital projects processes as requested
- Assist with scheduling of practice times and other facility usage
- Lead assigned sport operations meetings to determine needs for all stakeholders as it pertains to football events and additional events as required
- Coordinate TV set-up for assigned sports
- Coordinate with television director/producer to determine needs to televise event
- Create a logistical plan to execute needs of television representatives
- Evaluate staffing needs to assist in production and assign staffing to fill needs
- Manage credentialing needs for television personnel
- Serve as the liaison between television production and university plant to determine and fulfill needs to execute televised event (ex: electrical needs, establishing television compound, etc.)
- Work with television production and director of sport operations to create timeline
- Athletics liaison for event support staff, including concessions, guest services, VUPD, LifeFlight, bookstore, marketing, Learfield, NCC, ticketing, custodial, etc. for assigned sports
- Develop and maintain effective working relationships with coaches and support staff, university maintenance and grounds, housekeeping, campus groups, vendors and contractors, and other Vanderbilt Athletics departments
- Fill in for Associate Athletic Director, Facilities and Event Management as needed
- Responsible for assisting with NCAA, NIT, SEC, etc. events hosted by Vanderbilt University
- Ensure compliance with NCAA and conference rules and regulations
- Perform other duties requested by the Associate Athletic Director, Facilities and Event Management and/or Athletics Senior Staff
Qualifications
- A Bachelor’s degree from an accredited institution of higher education is necessary.
- A Master’s degree from an accredited institution of higher education is preferred.
- Prior experience of 3-5 years in collegiate athletics facility management and event management is necessary.
- Prior leadership experience of 1-2 years in a similar role is necessary.
- Prior experience leading Division I football and NCAA postseason events is preferred.
- Analytical, evaluative, and critical thinking skills are preferred.
- Skill in organizing resources and establishing priorities is preferred.
- Computer skills, to include word processing and database management are preferred.
- Ability to assess and develop procurement specifications and coordinate purchasing activities in area of specialty is preferred.
- Ability to manage and coordinate multiple projects simultaneously is preferred.
- Knowledge of budgeting and fiscal management principles and procedures is preferred.
