Position Summary:
The Program Coordinator of the Office of Greek Life (OGL) is part of the Student Engagement and Leadership Cluster in the Student Affairs division at Vanderbilt University. The Program Coordinator provides oversight, direction, accountability, and leadership to key operational aspects in OGL such as supporting and developing students, advising specific Greek governing councils, fraternity/sorority chapters, inclusion initiatives, trainings and managing student programs. The Vanderbilt Greek community consists of roughly 30 fraternities and sororities, comprising approximately 30% of the student population. Reports to the Assistant Director of Greek Life, this position will interact with staff, students, parents, national organization representatives, campus partners, faculty and other internal/external stakeholders regularly.
The Program Coordinator will serve as the primary advisor for the National Pan-Hellenic Council (NPHC) and the Intercultural Greek Council (IGC) and the chapters within their respective council, working to build trust and accomplish tasks, goals, and initiatives alongside student leaders, including the intake/recruitment and new member education processes and all council programming. This staff member will also support and manage key programs alongside other OGL team members, including initiatives within our 6 Greek Community Priorities. The Program Coordinator will be a committed member of the team that is focused on professional excellence and strives to facilitate and support the same for colleagues in and outside their team. The Program Coordinator will effectively manage through challenges and opportunities while seeking to understand and learn from their professional experiences.

Key Functions and Expected Performance:
Programming & Organizational Support
- Serve as the primary advisor to all NPHC and IGC chapters to mentor and support students to be successful in their leadership roles and to support chapter and council objectives, initiatives and programs.
- Develop Greek New Member Orientation to support the onboarding and acclimation of new NPHC and IGC members in chapter leadership.
- Assist in the management and implementation of the Greek Member Experience (GME) program by promoting and supporting chapter involvement to showcase the contributions of our members and chapters.
- Develop and implement online resources and social media efforts for office-wide initiatives to educate officers and promote the Greek experience to potential new members through the website and social media.
- Communicate regularly and effectively with chapter advisors and national organization representatives to ensure proper collaboration for chapter operations and development.
- Assist with the logistical details for large scale Greek programs including Greek Awards, leadership retreats, etc. to ensure events are successful. This includes, but is not limited to securing venues, contacting speakers/facilitators, technical equipment and other A/V needs, coordinating event work crews, Anchorlink event registration, etc.
- Facilitate agreements and contracts for speakers, performers, and approved vendors in a timely manner on behalf of the student organizations in advising portfolio.
- Actively lead and support student learning through curriculum development and facilitation of programs.
Crisis Support & Prevention
- Collaborate with the Office of Student Accountability, Community Standards, and Academic Integrity to investigate and adjudicate fraternity and sorority judicial matters.
- Be knowledgeable about the various campus resources to help refer students to the proper office to address needs that go beyond the scope of the office; this may include academic resources, trauma resources, professional development, etc.
- Respond to crisis situations involving student organization events to provide support for students and seek information as needed.
- Regularly meet with students to engage in meaningful conversations to identify potential issues those students might be facing in their leadership roles and as people.
- Build relationships with campus partners and co-design collaborative educational efforts to impact specific areas of need, including but not limited to hazing, alcohol and drug abuse, mental health and sexual assault.
Administration
- Attend weekly OGL staff meetings and 1:1 meetings with supervisors in those offices to ensure effective exchange of information and contribute to idea sharing for the benefit of the team and students we serve.
- Complete and maintain records of program reviews and evaluations to support and enhance organizational effectiveness.
- Reform and create policies and procedures to strengthen student organization, chapter and council compliance.
- Share in financial oversight for the National Pan-Hellenic Council, Intercultural Greek Council, student organizations and other program budgets, including responsibility for the preparation and management of relevant budgets to ensure proper stewardship of university resources.
- Contribute to office Objectives & Key Results to ensure alignment with university strategic priorities and objectives.
- Assess student needs and interests, as well as remain abreast of current trends in the fields of Student Development to provide creative and innovative programs for students to advance the mission and strategic priorities of OGL, and Student Affairs.
- Shares information and communicates proactively with team members on all team related decisions to ensure effective group dynamics and collaboration for agreed upon outcomes.
Other duties include but are not limited to
- Serve on divisional committees and working groups to enrich the experience and resources available to staff across the division.
- Participate in division wide events as needed (Move-In Day, Rites of Spring, Diverse ‘Dores Day, MLK Day, etc.) to support colleagues and ensure these events run smoothly.
- Maintain an understanding of institutional and departmental financial policies related to areas such as travel, procurement, expense, and time reporting to ensure compliance and proper stewardship of university resources. Demonstrate a willingness to support colleagues across the division in order to encourage the implementation or fulfillment of divisional goals and strategic priorities.
Supervisory Relationships:
This position reports administratively and functionally to the Assistant Director of Greek Life. This position may be asked to supervise Graduate Assistant(s).
Education and Certifications:
- A bachelor’s degree from an accredited institution of higher education, or an equivalent combination of education, relevant military experience, and relevant skills, is required. A master’s degree is strongly preferred.
Experience and Skills:
- One year of professional relevant experience is preferred.
- Experience working with/advising a Greek organization is strongly preferred.
- Ability to work effectively with students from diverse backgrounds attending a highly selective institution with a broad range of campus groups, departments and organizations is necessary.
- A strong interest in mentoring, developing, and supervising students is necessary.
- Excellent decision-making and time management skills are necessary.
- Ability to function extremely well in a fast-paced office and under pressure is preferred.
- Experience in conducting research, data collection, and providing data analysis is preferred.
- Experience in public speaking, communicating with students, faculty, staff, and community members is preferred.
- Demonstrated organizational skills, scheduling /time management, and various administrative tasks are preferred.
- Ability to prioritize and multi-task to carry out multiple assignments in a timely manner with minimal supervision is preferred.
- Ability to utilize and engage in current and new trending technologies and social networking tools is preferred.
