Position Summary
The Admissions Operations Manager/Assistant Director(title commensurate with experience) is responsible for providing leadership, oversight and project management within Admissions Operations for undergraduate, graduate and nursing admissions. This position takes lead in development and administration related to admission processes, accurate data reporting and supporting CRM communication needs. This position is liaison to University Marketing and collaborates with the Marketing Manager on print collateral and digit assets. This position reports to the Director of Admissions Operations and University Marketing.
Essential Functions
Administrator for Admission Information Systems. Coordinate and manage CRM system documentation, upgrades, testing, and troubleshooting. Liaison to and coordinate with Information Technology to support comprehensive enrollment management data analysis needs and effective and timely communication.
Responsible for ensuring that all necessary enrollment data is input or transferred into Radius CRM and Ellucian Colleague SIS. Manage all data/information imports, exports and transfers from outside vendors/sources and between all systems.
Become knowledgeable in all aspects of platforms to ensure the systems are being optimally used to their fullest capacity.
Oversee application processing to ensure accuracy and efficiency in all admissions processing. Maintain overall efficiency and functionality in operations to ensure business practices align with institutional enrollment goals.
Ensure all applications (including supporting documentation and general emails) are processed within 24-48 hours of receipt Manage decision letters in CRM and ensure timely notifications of decisions are sent to applicants.
Coordinate daily/weekly/biweekly and bulk mailings for accuracy and efficiency and timely delivery. Includes working with vendors/print houses and University Mail Center to provide instructions, mailing cohorts and data files. Monitor postage permit.
Work with management team on strategies to continually grow and develop areas of recruitment, communications and processing, and data analytics to support goals. This includes building out robust electronic and print communication plans, creating and manage communication plan calendar.
Manage and lead data coordinators. Set pace, prioritize tasks, ensure accuracy and create an inclusive and collaborative team-oriented environment.
Collaborate with Enrollment Management (admissions recruitment, financial aid and marketing staff) and other University departments (e.g. Registrar, Residence Life) as necessary.
Support Vice President for Enrollment Management with data analysis and collection for Enrollment Management, President's Cabinet, University requests and annual external surveys.
Perform other duties as assigned.
Minimum Qualifications
Baccalaureate degree required, Master's degree preferred.
3 or more years of progressive higher education admissions recruitment and/or operations experience. Management experience preferred.
Strong analytical skills, ability to analyze reports and set conversion goals.
Previous experience in a goal driven team environment.
Demonstrated computer proficiency in Microsoft Office (e.g. Word, Excel, SharePoint, Outlook).
Experience with Radius CRM (or similar product such as Slate, Salesforce) and/or Ellucian Colleague SIS (or similar product such as Banner, Jenzabar, PeopleSoft).
Excellent oral and written English and interpersonal communication skills, attention to detail.
Ability to problem solve, demonstrated time management and ability to meet deadlines, ability to multi-task in work that is highly complex and varied in nature, flexibility and ability to pivot to meet needs, demands and interruptions.
Ability to handle information in a confidential and professional manner.
Ability to lift 20 lbs.
Knowledge and acceptance of principles and philosophies of Vanguard University, its programs, and requirements.
Salary
Full Time Position.
This position may be filled at the Assistant Director or Associate Director level based on qualifications
$55,100 to $70,000 (Annual)
Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position. Vanguard University also offers a very competitive and generous benefits package.
