As a growing company with a collaborative and dynamic work environment, Vanwin Coatings is seeking a highly skilled individual to add to our Administration Team. A successful candidate will excel in these essential areas:
Duties
- Manage subcontract agreements and subcontractor payments.
- Manage and track accounts payable, accounts receivable, vendor, and customer profiles.
- Manage payroll forms (I-9's/W-4's), taxes, salaries, wages, vacation, sick leave, and wage garnishments.
- Review Timesheets, weekly job reports, and leave requests.
- Manage and process weekly payroll items- insurance, benefit deductions, travel and expense reimbursements.
- Create, track, and close purchase orders and vendor agreements.
- Manage and track internal assets and equipment within the company.
- General office duties, to include but not limited to (phones, filing, copying, scanning, faxing, etc.
- Support the logistics and coordination of materials, labor, and equipment for projects.
- Support information and documentation requests on new and existing projects.
- Support and track Base Employee Access & Security
- Ensure strict security, integrity and confidentiality of data
- Practice sound procedures for record keeping.
- Support adherence to workplace policies and procedures.
- Ensure filing systems are maintained and current
- Manage office supply acquisitions
- Assists in vendor management and outsourcing oversight
- Performs other duties as assigned
Education and Requirements
- At least 3 years of administration experience, with a strong focus on bookkeeping and payroll.
- Relevant experience in government contracting, construction, or manufacturing industries.
- Proficiency in QuickBooks Enterprise, Sage, or Similar
- Strong computer skills and proficiency in Microsoft word and excel.
- Strong and professional reporting, multi-tasking, problem solving, interpersonal and communication skills
- Ability to exercise sound judgment and work independently yet within deadlines.
- High levels of integrity, work ethic and dependability
