Pharmacy Admin/ Billing Support
Reports To: Director of Infusion
Mission:
To provide administrative, billing, and operational support to the Home Infusion Pharmacy team, encompassing medical billing, accounts payable, payroll assistance, and general office functions, thereby ensuring efficient and effective pharmacy operations and optimal reimbursement processes.
Major Duties & Responsibilities:
Pharmacy (Medical and Pharmacy Billing) Support:
- Provide foundational support for the reimbursement processes, including utilizing information systems, integrating admission with billing and collections, and assisting the Billing team with various tasks.
- Assist in verifying patient benefits, preparing accurate billing information, and communicating relevant financial responsibilities.
- Support the review of service authorizations, gather documentation for clinical feasibility related to payer contracts.
- Aid in the initial stages of handling provider adjustments and appeals, respond to basic reimbursement inquiries from the team, and contribute to the maintenance of billing databases.
- Assist in generating and submitting required medical necessity documentation (CMNs/SMNs/DIFs) and support all aspects of the billing cycle, including collections and payment posting, as assigned.
- Develop a basic understanding of payer contracts and their terms to effectively support billing activities.
Accounts Payable & Payroll Support:
- Manage accounts and perform bookkeeping tasks.
- Handle clerical aspects of pre-payments and post-payment reviews.
- Prepare and mail monthly statements and invoices accurately and efficiently.
- Assist with payroll-related tasks, including data entry, record-keeping, and report preparation, under the direction of the Director or Associate Director.
General Pharmacy/ Office Operational Support:
- Prepare professional and accurate communication materials, including memos, emails, invoices, charts, reports, and other correspondence.
- Provide administrative support and backup to other departments within the pharmacy as needed, ensuring smooth workflow.
- Prepare, coordinate, and distribute necessary materials for meetings, training sessions, and other events.
- Answer incoming phone calls routed to the operator professionally and courteously.
- Schedule meetings, manage calendars, and receive visitors, ensuring a positive and organized office environment.
- Administer the faxing and copying processes efficiently.
- Maintain and assist staff with organized filing systems, both electronic and physical.
- Conduct basic housekeeping tasks to maintain a clean and organized workspace.
- Maintain and organize office and facility supply inventories, ensuring adequate stock levels.
- Participate actively in the Performance Improvement Plan to enhance departmental efficiency and effectiveness.
- Perform other duties as necessary, assigned, and appropriate to support the overall functioning of the pharmacy.
Education/ Qualifications:
- High School Diploma/ GED Required.
- Minimum of 1 year of experience in an administrative role, preferably within a healthcare or pharmacy setting. Experience in medical billing is highly desirable.
- Excellent customer service and interpersonal communication skills, with the ability to interact professionally with patients, payers, and colleagues.
- Strong planning, organizing, and follow-up skills with meticulous attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.
- Knowledge of insurance and third-party payment systems, including understanding of medical billing processes and terminology.
- Ability to handle confidential and sensitive information with discretion and make sound decisions within established guidelines.
- Successful completion of mandatory pre-employment and annual training, including but not limited to HIPAA Privacy, HIPAA Security, and Fraud Waste & Abuse.

Pay: $19.00 - $21.21 per hour
