Position Summary
Provide supervision oversight to the Driveaway department and operation during assigned shift hours. Be prepared to assume the duties of the Assistant Manager, Driveaway, when needed. This individual shall perform the following tasks.
Position Responsibilities
Planning
- Coordinate as needed activities with Rubicon, responding to their replying to their inquiries.
- Ensure that requests and inquiries are promptly handled, coordinate with Assistant/Manager, Driveaway.
- Coordinate as needed with GFX. Monitor GFX hourly unit counts, coordinate with Assistant/Manager, Driveaway as needed.
- Coordinate with various yard managers / staffs as needed.
- Review inventories and move orders, executed and pending. Review as needed previous shift emails, yard inventory counts, and vehicle movements. Follow up on discrepancies.
- Plan shift activity for the Driveaway department, in accordance with the daily plan. Modify the van dispatch plan when needed, coordinating with Assistant/Manager, Driveaway.
- Provide van dispatch to van drivers, as needed.
- Complete start of shift meeting with Van Drivers/Supervisors and Driver/Porters reviewing safety requirements and updates for the shift. Complete the Safety Meeting Minutes at a minimum of once per month and submit to safetymeeting@vascorltd.com.
- Ensure that In Transit Plates are provided for all Driver/Porters and are accounted for.
- Ensure all Driver/Porters are wearing safety vests during hours of operations.
- Complete training with new hires following the Drive Away Training Outline and complete the Drivers Assessment form.
- Review and monitor the VASCOR DA Trip Sheet to ensure appropriate productivity.
- Review and sign the daily VASCOR DA Crew Log
- Review the Daily Company Vehicle Checklist document to ensure they are being completed and vans are properly maintained including (safety, mechanical, and cleanliness)
- Daily enter in each enter crew sizes and crew duration (hours), by van driver, by shift, in FVS
Production
- Track and monitor van and vehicle movement.
- Audit van operations to ensure that vehicle traffic moves safely and is properly recorded.
- Complete a minimum of two audits per shift documentation of the audits provided to the Assistant/Manager of Driveway.
- Redirect and redispatch vans as needed, due to Rubicon direction or vehicle availability, coordinating with Assistant/Manager, Driveaway.
- Monitor van activity and communicate with van drivers/Supervisors to provide new direction or needed corrections to activities.
- Assist in the process to audit Outgate Records against Driveaway Scans. Assist in resolving any inconsistencies and follow up on actions needed to improve accuracy of recorded vehicle movements.
Reporting
- Ensure that the DA Productivity Report (measure of van productivity) is completed, measuring productivity, and identifying issues.
- Seek ways to improve productivity. Counsel VASCOR van drivers/Supervisors as needed.
- Provide information as needed to assist in filing damage/accident reports claims promptly.
Training
- Conduct and document training for all staff.
- Ensure course completion information is provided, allowing for prompt updating of training records.
- Drive improvements in safety and productivity.
Administration
- Ensure daily van driver equipment inspection records are maintained. Ensure that equipment assigned to Driveaway is properly maintained and kept in good order.
- Complete Quarterly Assets verification form from accounting
HR Administration
- Ensure that new hires are processed in accordance with company policies.
- Review attendance, monitor and review time clock entries for accuracy, communicate with employment agencies, update time off requests and include in scheduled PTO in the operations calendar. In coordination with the Manager, Driveaway, review labor open positions, coordinating with the HR department, and notify employment agencies as appropriate.
- Ensure that all other HR actions, including terminations, are done in accordance with company policies.
Perform all other duties as required.
Qualifications
Essential Skills and Experience:
Education
- 4-year college degree or 4 years’ management experience.
Training
- Demonstrated “expert” level usage of MS office products including Excel, Access, and PowerPoint.
- Understanding and experience with Total Quality management
Skills
