Job Summary
We are seeking a detail-oriented and organized Document Specialist to join our team. The ideal candidate will be responsible for managing and processing documents efficiently while ensuring accuracy and compliance with company standards. This role requires strong administrative skills, proficiency in various software systems, and the ability to work independently in a fast-paced environment. This position will be in person; must be able to commute to Alexandria, VA.
Job Duties:
- Retrieves and prepares a variety of documents, reports, charts, correspondence, and other records from a number of sources and of various shapes and sizes (including maps and other large size images) for scanning by removing staples and clips, and placing documents in or on the equipment
- Scans and commits images to film, CD, or online archival storage utilizing an imaging scanner; maintains quality of images by using prescribed controls and methods as required by the imaging devise
- Verifies scanned documents' accuracy with source documents; proofreads for content validity, spelling, grammar and punctuation; verifies booking and paging; and reconciles errors and resolves discrepancies
- Maintains a manual and/or an automated recordkeeping system to identify, maintain, store, and control source documents and electronic records and medical records and media
- Operates, adjusts, and maintains electronic imaging equipment, tools, software, personal computers, and other office equipment
- May prepare photographic evidence for court using cameras, video cameras, and digital imaging software. May provide courtroom testimony regarding processing standards and techniques.
- Performs related duties as assigned
Qualifications:
- Mobility Frequently: stand and or sit for long periods, walk, push/pull, and bend/squat; operate keyboards, cameras, and heavy equipment.
- Lifting Frequently: lift heavy objects and materials weighing up to 40 pounds
- Vision Frequently: use of good overall vision, field of peripheral vision, and depth and color perception; read close-up work; eye/hand coordination
- Dexterity Frequently: writing, reaching, grasping, holding and repetitive motion
- Hearing / Talking Frequently: hear normal speech, talk and hear in person and on the telephone
- Emotional / Physical Frequently: concentrate; make decisions independently.
