What are the responsibilities and job description for the Accounts Receivable/Collections Specialist position at VCA Consultants?
Do you LOVE Collections and driving down the DSO? If so, this may be the job for you! As AR/Collection Specialist, you will not only drive collections, but you will also manage the entire process to ensure peak performance. You will assist the Accounting Manager and CFO with day-to-day functions of the accounting department with primary focus on soft collections for multiple firms while helping implement best in practice collection processes. Duties and responsibilities include, but are not limited to the following:
- Ability to understand full cycle of accounts receivable to enable the develop and implementation best practices for company collection process
- Conduct research and/or communicate via phone and email with clients to enable timely collection of invoices
- Learn about the contacts at each client to ensure excellent communication
- Learn unique differences and similarities of each of our entities including various billing requirements for each customer/contract.
- Work with billing team and/or project managers to resolve issues regarding invoices to facilitate timely collections
- Maintain detailed collection notes, accounts receivable reports, spreadsheets and corporate files
- Hold structured collection meetings with management on status of accounts and work with management to solve any outstanding issues
- Ownership of AR Aging and working towards reducing aged AR to less than 120 days working toward industry standard of approximately 90 days
- Assist in monthly closings by ensuring all AR transactions are entered daily
- Monthly reconciliation and payment of credit cards
- Works with department managers and employees of the firm in a collaborative team environment
- Assist with Year-End closing and various departmental audits
- Learn and become proficient at utilizing the Ajera/Deltek ERP system
- Special projects and additional duties as assigned

Work Environment: This job operates in a professional office environment. Attire is business casual. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Work Hours: This is a full-time in-office position. Company hours of operation: Monday through Friday, 8:00am to 5:00pm
Preferred Education and Experience:
- Minimum of 3 to 5 years of general accounting/accounts receivable experience, including working with other accountants to assist in the monthly close process
- Minimum of a bachelor’s degree
- Excellent capability working with Microsoft Suite (Word, Excel)
- Strong systems knowledge with knowledge of Ajera (Deltek) preferred
