What are the responsibilities and job description for the Leave Administrator position at VCU Health System?
Essential Job Statements
Participate in the development, implementation, and management leave programs, including FMLA, disability, personal leave, and other leave of absence policies. This includes monitoring to ensure they are compliant with federal, state, and local leave laws and regulations. Assist in developing and updating leave policies and procedures.
Serve as the primary point of contact for employees and managers regarding leave inquiries and provide guidance on leave policies and procedures. This includes process leave requests, verify eligibility, and maintain/audit accurate leave records.
Maintain Leave program communication pieces in knowledge base systems and monthly calendar of “Did You Know” leave communications. Conduct training sessions for managers and team members on leave policies and procedures.
Coordinate with payroll and benefits teams to ensure accurate leave payments and benefits continuation. Management of benefit premiums arrears process for team members on leave. Monitor and track leave usage and return-to-work dates.
Subject Matter Expert on Leave programs design and integration within Workday and vendor interfaces. This includes understanding of time keeping system.
Management and processing of PTO accrual and pay out process for team members that leave, rehire or transition between jobs.
Provide regular reports on leave usage and trends to HR management and leaders as requested.

Employment Qualifications
Required Education: Bachelor's degree in Human Resources, Business Administration, or related field.
Preferred Education: HR related training or education in employee benefit programs such as FMLA, leave laws, disability benefits, etc.
Licensing/ Certification
Licensure/Certification Required: N/A
Licensure/Certification Preferred: CEBS or GBA
Minimum Qualifications
Years and Type of Required Experience: 3 years of experience in leave administration or related HR role.
Other Knowledge, Skills and Abilities Required: In-depth knowledge of federal, state, and local leave laws and regulations. Strong organizational and time management skills. Excellent communication and interpersonal skills. Ability to prioritize and respond with appropriate sense of urgency
Ability to handle sensitive and confidential information with discretion. Strong analytical and problem-solving skills. Ability to interpret and apply policies. Ability to calculate and reconcile.
