Position Primary Purpose And General Responsibilities

Reporting to the VCU Massey Comprehensive Cancer Center Director of Events, the Senior Events Coordinator is responsible for supporting the comprehensive events program within Massey. The coordinator works collaboratively with colleagues to gain feedback and inform program design, enhancements, or modifications.

The position serves as a lead planner for assigned events. Is responsible for providing input on strategy, planning, and execution of logistics for events such as donor/fundraising events, retreats, educational symposiums/seminars, staff appreciation, and occasional smaller high-level events.

This position will be involved in all aspects of events including visioning, budget, marketing, on-site coordination of event/vendor, event execution, post-event evaluation, and metric tracking. The coordinator will develop and track ongoing relationships with event contractors, vendors, and partners.

The position provides virtual event support with scheduling meetings, running webinars, and providing technical support. This position will require working some off-peak hours for event planning and execution, as well as potential overnight travel for out-of-town events.

Senior Events Management Coordinator possess greater knowledge of administrative, logistical, operational, and technical tasks related to events management, distinguishing them from Events Management Coordinators. They are further distinguished by the complexity of assigned work; an ability to identify options and develop solutions for unique or unprecedented situations; greater decision-making authority; and the judgment, resourcefulness, and ability to identify issues and/or areas that should be addressed differently. They are resources for others, participating in mentoring, coaching, and training.

Typical Duties

  • Work closely with events teams, other departments and campus partners to create in person, hybrid and virtual events.
  • Direct event planning, production and evaluation for high-profile alumni, donor and campaign events.
  • Planning, production and evaluation of events with a solutions oriented mindset
  • Develop metrics to measure success and drive continuous improvement.
  • Partner with internal marketing, communications teams to define deliverables, meet deadlines and measure success.
  • Collaborate with campus partners to coordinate participation in events
  • Develop relationships with vendors, venues and other event service providers and internal partners.

Qualifications

Minimum Hiring Standards

  • Minimum of three years of full-time experience in events in a fast-paced, complex environment
  • Exceptional oral, written, and interpersonal skills
  • Exceptional planning and organizational skills
  • Ability to build relationships with vendors, negotiate contracts, build and maintain accurate and conscientious budgets
  • Ability to prioritize, focus, work independently and be a self-starter
  • Advanced knowledge of the event industry and best practices.
  • Experience juggling multiple tasks and deadlines with a calm demeanor.
  • Experience researching, adopting and using new event technology that enhances event planning.
  • Highly developed interpersonal skills to maintain strong working relationships with internal and external stakeholders.
  • Demonstrated excellent customer service, interpersonal, oral and written communication skills.
  • Demonstrated use of data driving decision making in the event strategy, planning and evaluation process.
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Education Requirements

  • Bachelor’s degree in marketing, business, communications or another related field, or equivalent experience. 2-3 years of experience in events, communications or hospitality.
