The Opportunity:
The Virginia Commonwealth University School of the Arts (VCUarts) seeks a collaboration-minded Administrative Coordinator for the Anderson to provide administrative and operational support to the Curator of Student Exhibitions and Programs.
This position will report directly to the Curator and will be based in The Anderson, an exhibition/programming space that totals 6,200 square feet. The Administrative Coordinator performs a wide variety of administrative, logistical, operational, and technical tasks in support of the Anderson’s programming. Day-to-day duties focus on the implementation of the Curator’s vision for the facility through exhibitions, outreach, and the coordination of fiscal and human resources business functions. The Administrative Coordinator also works independently and as team member or team lead with gallery staff and interns, exhibitors, faculty, leadership, and other collaborators and stakeholders. The Administrative Coordinator works under flexible terms of supervision, fulfilling day to day duties and resolving standard issues independently while referring to, or collaborating with, the Curator to resolve complex problems as needed or directed.
Primary duties and responsibilities
● Maintain VCU RealTime certification and serve as the timekeeper for The Anderson.
● Assist in the recruitment, training and supervision of student worker staff.
● Assist in the recruitment, training and supervision of interns.
● Manage student worker and intern schedules.
● Understand and follow university policies and procedures related to the Manpower Control Act, ensure employees working in The Anderson adhere to hourly work limits.
● Oversee a budget, including p-card and non p-card purchasing and reconciling.
● Maintain accurate records of visitor logs, loan agreement forms, etc.
● Provide general administrative support for exhibitions, events and programs. ● Coordinate events or support event execution/production.
● Facilitate calls for exhibition and student opportunities.
● Coordinate/support outreach and promotion efforts.
● Post programming entries to website; distribute email newsletters.
● Manage social media accounts including Instagram and Facebook.
● Liaise with VCUarts students, faculty, staff, and exhibiting artists on select projects.
● Maintain knowledge of the facility; including swipe card access and supplies.
● Support the curator and manage staff in ensuring galleries are prepared for exhibitions and that exhibitions are properly maintained.
● Maintain relevant records and information and aid in the preparation of annual reports.
