Dispatch Clerk

Company Overview:
Veltri, Inc is a leading transportation company specializing in CDL A trucking operations. Our 24/7 dispatch office plays a crucial role in ensuring smooth operations and superior service for our customers. We are seeking a highly professional and detail-oriented Dispatch Clerk to support our dispatch team by monitoring fleet activities, coordinating driver assignments, and maintaining clear and effective communication across departments.

Available Shifts:

  • 1st Shift: 7:00 AM - 3:30 PM
  • 2nd Shift: 3:00 PM - 11:30 PM
  • 3rd Shift: 11:00 PM - 7:30 AM

Position Summary:

Reporting to the Dispatch Operations Manager and Dispatch Supervisor, the Dispatch Clerk is responsible for ensuring the efficient and timely dispatching of loads, accurate fleet monitoring, and providing exceptional communication and support to drivers, customers, and internal teams. This position requires strong problem-solving skills, the ability to provide guidance to drivers, and exceptional customer service.

Key Responsibilities:

  • Dispatch Coordination: Assign loads to drivers with the correct tractor assignment at least 3 hours in advance of their scheduled start time.
  • Fleet Monitoring: Track driver activity to ensure proper sign-in and sign-out, assigned equipment use, and on-time execution of duties.
  • System Compliance: Verify drivers are properly completing pre-trip and post-trip inspections in the system and following DOT regulations.
  • Data Accuracy: Ensure all load movements, trailer pickups, and drop-offs are correctly recorded in TMW dispatch tracking system.
  • Proactive Problem-Solving: Identify and address potential service failures, coordinate with customers and dispatch teams to resolve issues before they escalate.
  • Communication & Customer Service: Serve as the first point of contact for customer inquiries, last-minute trip requests, and service updates. Clearly communicate load status, driver progress, and any potential delays.
  • Driver Support & Coaching: Provide guidance and coaching to drivers regarding system usage, compliance, and professionalism. Act as a driver advocate while ensuring operational efficiency.
  • Incident Response: Respond to breakdowns, civilian complaints, accidents, and other on-road challenges by ensuring timely escalation to the appropriate teams.
  • Administrative Support: Maintain accurate records, update system information, handle documentation, and research service failures as needed.
  • Collaboration: Work closely with Load Planning, Fleet Maintenance, Safety & Compliance, Drivers, and Administrative Services to ensure seamless operations.

Qualifications & Requirements:

  • Previous dispatching experience in a tractor-trailer or transportation environment strongly preferred.
  • Proficiency in TMW dispatch tracking system (or similar) is a plus.
  • Strong written and verbal communication skills with the ability to convey information clearly and professionally.
  • Excellent phone etiquette and customer service skills.
  • Ability to multi-task, prioritize workload, and remain composed under pressure.
  • Strong problem-solving skills and the ability to take initiative in fast-paced situations.
  • Team-oriented mindset with the ability to work both independently and collaboratively.
  • Basic understanding of DOT regulations, hours of service (HOS), and geography of the Northeastern U.S. preferred.
  • Computer literacy with data entry accuracy and attention to detail.

Work Environment:

  • Office-based position (not hybrid).
  • Secure facility during off-hours (key card access required).
  • Minimal travel (less than 2.5%).

Pay: $48,000.00 - $52,000.00 per year
