SUMMARY
This position provides administrative support to accounting, procurement, IT, project administration and project management. The Administration Support Specialist provides administrative support to complete projects. This position is a respected member of the team and participates during all phases of the project life cycle. Under the direction of project administration and/ or management, the Administration Support Specialist t is responsible for facilitating, reporting and analyzing projects and all relevant documents. This position will also be to learn how to coordinate, plan, and eventually lead computer related activities in our organization. Help determine the IT needs of the organization and be responsible for implementing computer systems to fulfill the organizations information system requirements. The scope of IT responsibilities will vary. In some cases, the focus will be solely on computer needs and in other cases, helping with managing telecommunications systems and other electronic support systems related to projects with our customer or with the company operations.
PRIMARY DUTIES AND RESPONSIBILITIES
- Coordinates and gathers contract documents with Project Managers and Administrative
- Sets up and maintains neat, orderly, complete documents and project/contract
- Sets up projects within Accounting
- Helps move projects towards completion by performing project and office administration tasks, which typically includes production and distribution of collateral, file management, data collection, report creation, proofreading, research, and team
- Maintains accurate records of all information related to projects for documentation, clarification, and presentation to
- Assists in monitoring and tracking project progress, scheduling, and project
- Provides support with miscellaneous data
- Serves as an office back up for procurement, accounting, and payroll, as
- Performs general administrative duties to the Office Administration (i.e. answering, screening and directing telephone calls; assisting with related clerical duties such as photocopying, faxing, filing, and collating).
- Intent to Lead larger projects, including the design and deployment of new IT systems and services.
- Monitor performance of IT systems to determine cost and productivity levels, make recommendations for improving the IT infrastructure.
- Help improve and further define the infrastructure strategy, architecture, and processes.
- Build and maintain compliance with the Cybersecurity Maturity Model Certification (CMMC) framework developed by the US Department of Defense (DoD).
- Coordinate with others using video conferencing applications such MS Teams and Zoom.
- Analyze business requirements by partnering with key stakeholders across the organization to develop solutions for IT needs.
- Troubleshoot hardware and software issues related to internal IT.
- Performs other related duties, as needed.
MINIMUM REQUIREMENTS
- Associate s degree or equivalent from two-year College or technical school or equivalent combination of education and experience.
- Minimum of three (3) years experience in commercial.
- Minimum of two (2) years experience with Federal contracts and project.
- Prior experience with Certified Payroll preferred.
- Proficient in the use of Pro-core, Foundation or other types of Construction Software programs,
- Proficient computer skills and use in Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel) and Adobe.
- Proficient in the use of Procore, Foundation, or other types of Construction Software programs, desirable.
- Prior military experience preferred.
