SUMMARY
Spa Coordinator will play a crucial role in ensuring that our guests experience the highest level of service and satisfaction while visiting our spa facility. You will assist in the daily operations of the spa, coordinate appointments, and provide support to our spa professionals, all while embodying our commitment to wellness and relaxation.
Duties/Responsibilities:
- Assist in managing the daily operations of the spa, including scheduling appointments and managing the booking system.
- Answer Phones during business hours, checking voicemails/emails and returning messages promptly.
- Provide exceptional customer service by greeting clients, answering inquiries, and ensuring a welcoming atmosphere.
- Communicate effectively with spa staff to ensure seamless service delivery and coordination of treatments.
- Maintain cleanliness and organization of the spa environment, including treatment rooms and common areas – restocking linens and supplies as necessary.
- Process payments and handle transactions accurately while providing guests with detailed information about services and products.
- Support marketing efforts by promoting spa services and products through various channels.
- Monitor the current status of coupons, discounts, and other promotional programs.
- Stay informed of all Spa services offered by the Day Spa.
- Gather information on any incidents which may have impacted guest satisfaction and report to management.
- Participate in proactive team efforts to achieve departmental and Company goals.
- Conduct post service surveys and consolidate feedback received.
- Comply with all safety policies, practices, and procedures. Report all unsafe activities to supervisor and Human Resources.
- Will assist guests in all areas of scheduling spa appointments in person and over the phone.
- Maintains flexibility to take on new and different tasks as directed by the department manager.
Qualifications
Skills/Abilities:
- Strong interpersonal skills and customer service-focused mindset.
- Ability to manage multiple tasks and maintain organization in a fast-paced environment.
- Basic proficiency in using booking software and point-of-sale systems.
- Excellent verbal, written and listening skills.
- Adaptability to change priorities and guest needs.
- Enthusiastic and positive attitude towards guest service.
- Strong problem-solving abilities and attention to detail.
- Able to apply basic math skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Basic knowledge of social media platforms for marketing purposes
- Sales experience a plus.
Education/Experience:
- High School or equivalent education required.
- Previous experience in a spa or wellness environment.
- Knowledge of spa services, treatments, and products.
Physical Requirements:
• Must be able to lift, carry, push, squat, twist or pull.
• Must be able to sit for at least 25% of the shift.
• Must be able to lift up to 20lbs.
• Exposure to water, chemicals, and cleaning agents.
• Climb and descend stairs.
