Job Title: Assistant General Manager

Reports To: General Manager

Hours: Monday through Friday, or as location requires. Core location Operating Hours are 8:00 am to 5:00 pm. Lunchtime is 1 hour per day between 11:00-2:00 scheduled with GM so there is continuous coverage. Overtime may be required depending on meeting bookings and staff coverage.

Description: The Assistant General Manager is the backbone of making the experience at Venture X fantastic for all Venture X members and guests! As the Assistant General Manager, you will support members and staff in the full operations of the space. You will work closely with the General Manger to carry out the daily activities of running a welcoming and functional coworking space. The perfect person for this position will have a love of serving others almost as much as they love details and follow through needed to maintain a functioning space.

Duties and Responsibilities:

Responsible for assisting in ensuring a positive member experience by creating a flow of communication with your team and members and assisting in the overall positive and welcoming atmosphere of Venture X by ensuring cleanliness of the space, inventory levels are up to par, and maintaining proper checklists. Additionally, you will assist with performing tours of the space, lead intakes and new member onboarding.

The AGM will be responsible for assisting with all aspects of the location’s operations. They may act as the Point of Contact/Person in Charge of vendors as needed in synchronization of the General Manager. They are also responsible for helping to gather quotes and negotiating the best rates and quality of work for any onsite items needing to be completed.

The assistant general manager will help in the ongoing coaching and development of the onsite team. You will be the point person for the location if the general manager is unavailable. By creating a welcoming atmosphere and assisting members and guests with their needs they ensure a long lucrative stay for our members. Each day brings a new challenge and opportunity to positively impact our community.

General Duties:

  • Collaborate with the General Manager to ensure positive member service from the initial lead to the prospect phase to onboarding to retention.
  • Assist in the hiring, supervision, and development of teams, fostering a positive and motivating work environment.
  • Skillfully assess day-to-day operational demands and address concerns effectively.
  • Ensure accurate and efficient completion of financial, personnel, and administrative duties in accordance with company policies and procedures.
  • Ensure consistent compliance with operational standards, company policies, and relevant laws and ordinances.
  • Assist and manage billing as needed.
  • Ensure location is fully prepared for meetings/events/tours
  • Assist with mail and overview of Virtual Members

Assist in the overall responsibility of ensuring the positive and welcoming atmosphere of Venture X with the following:

  • Assist with inventory of the café as needed and managing the par levels to ensure adequate materials both for the members and the internal team
  • Assist with opening and closing procedures to ensure that café and the overall space is clean and ready.
  • Assisting to ensure the cleanliness of the common areas, café, restrooms, and member services throughout the entirety of the day
  • Support the onsite team with any needed setup/breakdown of meetings (internal/external)
  • Greet guests by answering any questions or directing them to their proper location while exemplifying our high level of standard
  • Assist in management of all Third Parties for both Virtual Offices and Meeting Rooms.
  • Assist with the monthly newsletter
  • Assist with implementing the mandatory member experiences on a weekly basis. This includes following the event schedule, ensuring any shopping is completed ahead of the event, and the implementation and event clean-up.

Assists with the overall organization and success of the center’s mail both for residents and for Virtual offices with the following: * Sorting and organizing all mail * Addressing mail requests such as scanning, shredding, forwarding * Delivering mail/packages to members * Maintaining and managing all Virtual Mail Platforms

Assist with the overall membership experience and process with the following:

  • Assist in all incoming leads and gathering all necessary information. This can be from a call, email, etc., ensuring that all information is accurately captured.
  • Input all necessary information into the CRM with the associated membership of interest to ensure the deal is accurately tracked.
  • Send the associated links or information for sign-ups for Virtual, Community and Dedicated Desk memberships and meeting room inquiries.
  • Preform membership tours of the space for Virtual, Community and Dedicated Desk Memberships. Additionally, when needed to assist ASM, preform Private Office tours.
  • Assist with overseeing the successful completion of all self-registered memberships

Essential Knowledge, Skills & Abilities

  • Minimum 1-year experience in the service/hospitality industry
  • Prior Experience organizing Meetings and Events is a huge plus.
  • High School Diploma Required
  • High standard of customer service and strong written and oral skills
  • Excellent organizational skills
  • Ability to work under pressure and demonstrate flexibility.
  • Good IT knowledge
  • Yardi and HubSpot experience are a huge plus!

  • Ability to handle small tools such as a drill, hammer, screwdriver, etc.
