POSITION SUMMARY:
The Human Resources Manager will oversee and guide the HR needs for one of the brands within the VersiCare Group family. This role involves managing key HR services such as payroll, company communications, employee relations, regulatory compliance, organizational development, risk management, and benefits administration. The HR Manager will ensure that brand-specific HR strategies are aligned with broader company HR initiatives, supporting overall business objectives while supervising all HR programs, systems, and processes.
A key responsibility is to lead and nurture the organizational culture at VersiCare Group. The HR Manager is expected to communicate a compelling vision, inspire and motivate others, and set the standard through leadership by example.
ESSENTIAL FUNCTIONS
1. Payroll Administration
- Work with our HRIS system to run weekly/biweekly payroll; Run reports from the system as needed.
- Work with managers to ensure timesheet accuracy
- Responsible for reconciling benefits and other payroll deductions during payroll processing.
- Responsible for obtaining missing and/or incomplete data.
- Processes involuntary third-party orders affecting payroll. Calculates amount subject to withholding order (garnishment, levy, bankruptcy, child support, and/or wage assignment) and enters into payroll system.
- Process check adjustments (check reversals, voided checks, reissue checks, manual checks).
- Supports annual W2 and 1099 processing and distribution
2. Employee Relations
- Collaborate with leadership to effectively communicate HR policies, procedures, and programs.
- Oversee the performance review program to ensure its effectiveness, compliance, and fairness.
- Continuously evaluate HR policies, programs, and practices, keeping management updated on new developments and revising the company handbook as necessary.
- Maintain the organizational structure by updating job requirements and descriptions for all roles.
- Provide HR support to both employees and leadership.
- Coach managers on effective communication, feedback, recognition, and interactions with their direct reports.
- Advise and guide managers in applying the company’s progressive discipline process and monitor the implementation of performance improvement plans for underperforming employees
- Develop and support new hire onboarding and training programs.
3. Regulatory Compliance
- Ensure compliance and interpretation in accordance with company, federal, state and local employment laws governing the workplace and employment process.
- Ensure current postings required by federal and state regulations are updated and displayed.
- Advise management of appropriate resolution on employee relation issues.
- Respond to inquiries regarding policies, procedures, and programs.
- Oversee reporting requirements to appropriate state and government agencies.
- Oversee and support employee leaves following policies and practices in place and those set by FMLA.
- Maintains roster with ACHA and APD.
4. Risk Management
- Audit systems and controls and recommend procedure changes to human resource processes.
- Oversee employee separation notices and related documentation and exit interview to determine reasons behind separations.
- In conjunction with Operations Director, investigate allegations of harassment and misconduct, recommend appropriate action, and ensures non-retaliation.
- Oversee Workers’ Compensation Management including assisting employees when issues arise and communications with the WC insurer.
- Oversee Unemployment reporting and responding to inquiries.
- Oversee OSHA and OSHA requirements such as the tracking and posting according to OSHA guidelines.
5. Human Resource Administration Management
- Continually seeks out HR process improvements and is accountable for ensuring the documentation, development and evaluation of business processes.
- Utilize HR system to eliminate administrative tasks, empower employees, and meet the other needs of the organization.
- Develop and implement HR strategies and initiatives aligned with the overall business strategy.
- Manage the development and maintenance of the Human Resources sections of both the company website, particularly recruiting, culture, and company information; and the employee newsletters, and committees.
OTHER DUTIES
- Administer the performance management system through regular individual performance appraisals. Establish one on one meetings with staff monthly.
- Oversee records system.
- Maintain reference material on applicable employment laws.
- Maintain awareness of local labor market, business conditions, activities of competing companies, and industry-related trends.
- Assist with transitions and other communications into Spanish language.
- Other projects and activities as assigned.
- Supports company culture initiatives and programs.
SUPERVISORY RESPONSIBILITY
- No supervisory responsibilities
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
- Duties are performed using a hybrid working model combining remote work with office work. Employee must plan on spending at lest 3 days a week in the office.
- Occasional out-of-town trips will be required to visit other locations, attend special events and training sessions.
- Must be able to sit for extended periods of time and possess the normal range of body motion. Must be able walk the facility to connect with employees.
- Must be able to work effectively under the stress of daily commitments and deadlines.
EDUCATION AND/OR EXPERIENCE
- Bachelor’s degree in human resources or related area, with five (5) years or more working as a hands on Human Resources professional.
CERTIFICATES, LICENSES, REGISTRATIONS:
- Professional Human Resources (PHR), or Senior Professional Human Resources (SPHR) preferred.
KNOWLEDGE AND SKILLS
- Must have working, conversant understanding of basic employment laws particularly, the Fair Labor Standards Act, Title VII of the 1964 Civil Rights Act, Americans with Disabilities Act, Equal Pay Act, Pregnancy Discrimination Act, and the Family Medical Leave Act.
- Knowledge and experience in employment law, compensation, organizational planning, employee engagement and development.
- Excellent verbal and written communication skills in both and
- Outstanding interpersonal skills.
- Demonstrate ability to serve as a knowledgeable resource to the leadership team.
- Ability to define problems, collect data, establish facts, and draw valid conclusions. Including problems involving several concrete variables in standardized situations.
- Possess the ability to lead and manage others by exhibiting strong business acumen.
- Demonstrates the ability to analyze, document and improve productivity in all internal systems and processes.
- Maintain a clear state police criminal record check is required for any state in which the person has resided in the past year. If any prior convictions for offenses outlined in KRS Chapter 17.165 (1)-(3) or a prior felony conviction, employment work will not be offered. Additionally, annual background checks may be required.
