Position Summary
The Executive Assistant serves in a leadership and support role working closely with the SCMR Executive Director (ED) and Committees seeking continuous growth in SCMR. They plan, organize, and follow-up on administrative activities and dedicated projects. The ideal candidate will be able to work independently to manage and implement programs approved by the Board assuring that objectives are achieved, strategic plan fulfilled, and member needs met. They will work with members of the SCMR client team in Veritas (meeting planners, client services, marketing, and communications, membership accounting, etc.) to facilitate special projects and responsibilities. Leveraging effective internal and external relationships will be essential to success in this role.
Position Responsibilities
- Provides administrative support to the Executive Director and CEO.
- Supports board policies and systems to ensure the efficiency and effectiveness of the organization.
- Ensures ongoing measurement of deliverables for projects and initiatives by preparing monthly metrics for reporting.
- Acquires substantive knowledge regarding the organization’s programs and services.
- Supports the organization’s mission and strategies.
- Continuously improves processes for the organization to meet both long- and short-term objectives.
- Assist with grant coordination as needed.
- Update and maintain databases and spreadsheets for various projects.
- Support Executive Director in creating a SCMR communications plan and follow-up on implementation.
- Coordinate activities, projects, and meetings of dedicated board-appointed committees and sections.
- Provides administrative support to the Special Interest Groups (SIGs).
- Assist Executive Director and CEO with coordination of SCMR meetings and calls.
- Take and prepare minutes of SCMR meetings as needed.
- Travel to annual client conferences and coordinate on-site activities.
- Coordinates volunteers’ expense claims
- Provide support for leadership events including speakers/faculty management and evaluation coordination.
- Develops an effective working relationship, communication and reporting process with the Executive Director, Committee and Section Chairs.
Qualifications
The ideal candidate will have the following experience and qualifications:
- Bachelor’s degree or equivalent job experience.
- Minimum of 5 years of experience in association management preferred.
- Certified Association Executive (CAE) preferred.
- Experience working within a non-profit medical sub-specialty association a plus.
- Demonstrated strategic ability and experience managing and working with a volunteer organization.
- Ability to articulate a vision, create consensus, and motivate people.
- Excellent written, verbal, presentation, and interpersonal skills.
- Experience with and understanding of association bylaws, contracts, etc.
- Intermediate computer proficiency. Experience with Association Management System(s).
- Ability to organize and manage multiple projects/priorities while meeting deadlines.
