Key Responsibilities
- Coordinate and schedule appointments, meetings, and travel arrangements
- Handle incoming calls, emails, memos, letters, and other communications
- Prepare and edit reports, presentations, and meeting agendas
- Take detailed meeting minutes and distribute accordingly
- Maintain organized contact databases and filing systems
- Welcome and assist office visitors and clients professionally
- Act as a liaison between clients, staff, and management
- Review and maintain office policies, procedures, and compliance documents
- Track and manage office supplies, sourcing new vendors as needed
- Prepare and submit expense reports and invoices
- Work closely with senior and executive assistants to support upper management
- Minimum of 3 years’ experience in an Administrative Assistant, Executive Assistant, or Virtual Assistant role
- Strong knowledge of office management systems, procedures, and equipment (e.g., printers, fax machines)
- Proficiency in MS Office, particularly Excel, PowerPoint, and Outlook
- Exceptional time management, problem-solving, and organizational skills
- Excellent written and verbal communication with strong attention to detail
- Ability to handle multiple tasks and prioritize effectively
- High school diploma required; associate’s or bachelor’s degree or relevant certification is a plus
