As the Office Supervisor, you will play a key role in managing office operations, assisting with administrative tasks, and supporting the team’s workflow. Your responsibilities will include overseeing office procedures, ensuring smooth client service operations, and assisting leadership with HR coordination and financial tasks.
Essential Duties:
- Office Administration: Oversee daily office operations, including supplies management, scheduling, and office upkeep.
- Client Service Support: Assist with client onboarding, document management, and communication to ensure a seamless experience.
- Team Coordination: Support staff with workflow organization, scheduling, and administrative needs.
- HR Assistance: Help with employee onboarding, training coordination, and team engagement initiatives.
- Billing & Financial Support: Assist with invoicing, accounts payable/receivable, and expense tracking.
- Technology & Systems Oversight: Maintain office software, accounting systems, and workflow management tools.
- Compliance & Record-Keeping: Ensure firm documentation and compliance records are properly maintained.
- Financial & Billing Assistance: Assist with invoices, accounts payable/receivable, and expense tracking.
Other Duties:
- Routinely compiles, collects, and analyzes moderately complex and confidential data for projects
- Provides guidance and assistance to less experienced administrative assistants as required.
- Performs other duties as assigned.
Education, Experience and Skill Required:
- Bachelor’s degree in business administration or human resources preferred.
- Graduate degree or SHRM certification a plus
- Experience: Minimum of 2-4 years in operations, administration, or office management (preferably in a CPA firm or professional services environment).
- Organized & Detail-Oriented: Strong ability to multitask, prioritize, and maintain accuracy in a fast-paced setting.
- Tech-Savvy: Experience with accounting software (e.g., QuickBooks, NetSuite), CRM systems, and workflow tools is a plus.
- Strong Communication Skills: Ability to interact professionally with clients, team members, and vendors.
