Position Summary:
The Center for Justice Reform (CJR) at Vermont Law and Graduate School (VLGS) exists to transform the ways communities respond to harm and pursue justice. The Program Coordinator supports all aspects of the Center for Justice Reform operations and embraces our restorative justice values, including practicing accountability while respecting and honoring human dignity in all aspects of our work. The Project Coordinator will act as administrative support to the Director of the Center for Justice Reform and support the Director in their key duties, as assigned. The Project Coordinator’s key responsibilities include ensuring the CJR is running smoothly by keeping a pulse on student, faculty, and organizational needs. These include providing administrative support to faculty teaching courses in the department, organizing center events, representing the CJR to students and across the campus, keeping the CJR organized as a center, ensuring courses are listed and running smoothly each semester, and assisting with social media communications for the CJR in collaboration with the director.
Essential Functions and Principal Accountabilities:
- This is a residential position, requiring a regular presence on our South Royalton campus and in our Burlington office.
- Participates in and promotes the CJR program philosophy and objectives, including collaboration in program visioning and reflection.
- Conducts administrative support for the director of the CJR as directed, including compiling materials, conducting internet searches, managing spreadsheets, and scheduling events.
- Administrative support for executive functions of CJR Team including: minute-taking, exam administration, mail, phone, maintaining office supplies, sending emails as needed to diverse audiences, surveys/polls, tracking program data, other requests (building maintenance, IT requests, etc.) as needed, photocopying/scanning, managing email lists for incoming students and faculty.
- Supports CJR Visiting and Adjunct (Residential and Online) faculty, including logistics, stipends, and coordinating housing for Summer Series faculty.
- Develops relationships and collaborates with colleagues across institutional departments including marketing and communications, admissions, the registrar, and career services among others.
- Helps to create a campus presence by tabling events on campus and in the local community, sharing information about the CJR.
- Acts as coordinating support for online and in person events and workshops led by the CJR for the criminal legal system or restorative justice fields, including speaking panels and an annual conference. This work includes organizing speakers, planning agendas, organizing technology or physical space, and marketing and advertising events.
- Management of all mailing lists, updating student email lists, partner organization lists, alumni email lists, and faculty email lists.
- Interfaces with current and prospective students and collaborates in student services and activities.
- Maintains basic financial records, processes payment vouchers, and manages day-to-day budget processing.
- Promotes the work of the CJR with announcements, fliers, newsletters, and social media posts.
- Coordinates with the marketing and communications team to update and revise the CJR website.
- Helps to ensure relevant standards, processes, and regulations are upheld, including supporting substantive language access and demonstrating cross-cultural competence.
- Other duties as assigned.
Requirements
Required Education, Skills and Experience:
- A Bachelor’s Degree is desirable but not required. 3-5 years of professional administrative experience could serve as a substitute for a degree.
- Demonstrated experience working with diverse groups of people.
- Excellent organizational and calendar management skills.
- Ability to maintain recordkeeping systems and procedures.
- Excellent written and oral communication skills.
- Program planning and implementation skills.
- Ability to gather data and compile information.
- Skills in organizing resources and establishing priorities.
- Ability to organize, prioritize, and schedule work assignments.
- Proficiency with basic budgeting software and basic knowledge of budgets and cost estimating and processing.
- Collaborative, creative, and strong interpersonal skills.
- Solid computer skills, preferably in a PC, Windows-based operating environment; experience with Microsoft Office (365) applications, virtual work environments, and social media applications.
- Familiarity with social media and event promotion and planning.
Other Requirements:
- Ability to prioritize multiple tasks and deadlines and reorganize under pressure.
- Ability to work independently and collaboratively within a team.
- Must be able to work legally within the United States without sponsorship.
- Ability to perform all essential functions of the job with or without basic accommodations.
