BASIC FUNCTION
The Assistant Site Coordinator supports the Site Coordinator. This position is to provide continuous operational support as a main point of contact to the Williston campus. The basic function is to serve as a resource to all campus partners to ensure the facilities are properly used, maintained, and secured. This position will serve a cross functional role in both Public Safety and Campus Operations.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Assist in oversight of Public Safety and Campus Operations activities as directed by the Site Coordinator.
- Supervise, hire, train and manage Student officers/workers.
- Work with Residence life staff to coordinate educational programs or trainings for students as it relates to campus safety or operations.
- In collaboration with Site Coordinator, provide guidance and training support to campus community to follow safe operations and practices.
- Conduct regular rounds to monitor and secure campus spaces.
- Serve as main point of contact for all safety, security, access control, emergency response or campus operation concerns when Site Coordinator is not available.
- Serve as administrative liaison with students, faculty, staff, guests, vendors, and/or other key department or stakeholder constituency: explain policies/procedures; answer various questions; coordinate services, handle special requests or problems. Consult with Site Coordinator as needed.
- Enforce parking compliance and respond to safety concerns.
- Consult with the Site Coordinator and / or Director of Public Safety as needed regarding public safety incidents as they arise.
- Document and manage incidents and communicate with the Site Coordinator about safety issues.
- Support and manage campus operations activities, including ID card issuance, mail services, and access control.
- Respond to calls/complaints and perform other specialized or technical administrative tasks related to Public Safety or Campus Operations.
- Manage and maintain confidential information in various situations; emergent or not. Sensitive information on records, materials or notes must be kept secure and communicated to Site Coordinator as needed.
- Assist the Site Coordinator with campus events, conferences, and vendor operations support.
- Monitor, manage and restock office and operational supplies.
- Support and manage routine maintenance tasks, including but not limited to:
o Salting walkways during winter.
o Changing light bulbs and performing minor repairs.
o Assisting with snow removal or landscaping as needed.
o Perform light cleaning and upkeep tasks as required. - Communicate facility maintenance needs to the Site Coordinator for resolution.
- Act as a point of contact for students, faculty, staff, and guests when the Site Coordinator is unavailable.
- Provide operational guidance and direct campus partners to appropriate resources.
- Perform other duties as assigned by the Site Coordinator.
- Serve as the Site Coordinator in their absence.
SUPERVISION RECEIVED
Direct supervision received from the Site Coordinator.
SUPERVISORY RESPONSIBILITY
Supervise work study student staff as needed.
MINIMUM QUALIFICATIONS
Associate degree or 2 years of management and operations experience plus two years of relevant experience in clerical, administrative, or operational roles. Including, experience in higher education operations management, facilities management, construction management, contract management, or public safety management.
PREFERRED QUALIFICATIONS
Associate degree or trade license preferred, plus 3-4 years of relevant clerical, operational and administrative experience in higher education, or a combination of education and experience from which comparable knowledge and skills are required.
Knowledge:
- Basic understanding of facilities operations and safety protocols.
- Familiarity with common computer programs and systems.
- Strong organizational and time-management skills.
- Basic problem-solving and decision-making abilities.
- Ability to manage and maintain confidential information.
- Communicate clearly and effectively with diverse groups of stakeholders.
- Work collaboratively within a team setting.
- Demonstrated ability to contribute to a diverse and inclusive campus community.
Location & Schedule
Williston Campus. Monday–Friday, 2nd shift, with occasional weekend shifts based on campus needs
