POSITION SUMMARY:
As an Office Manager at Vertical Roofing Co. you are primarily responsible for greeting customers, operating a multi-line telephone system to answer incoming calls and directing callers to appropriate personnel, filing documents, registering manufacturer warranties and assisting Managers and other staff members with clerical tasks. You set the tone for our office and anyone who contacts Vertical Roofing Co. each and every day.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following, other duties may be assigned.
- Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries
- Directs visitors by maintaining employee and department directories
- Ensures safe and clean reception area by complying with procedures, rules, and regulations
- Assists managers and team members with daily tasks related to projects
- Order, receive, and maintain office supplies
- Support phone system, message retrieval, and dispatching calls
- Provide company information, address, directions, and other requests on demand
- Maintain copy machines, faxes, help with computer set up or issues
- Monitor visitor access
- Assist managers/team members with proposals, permit requirements, outcalls, scheduling needs, project inspection requirements
- Knowledge of processing checks
- Clerical duties including filing, photocopying, and collating
- Work alongside the General Manger, Sales Manager and sales team by providing any assistance needed
- Handle customer complaints/calls
- Scheduling and calendar management for managers
- Office meetings/event coordination
