What are the responsibilities and job description for the Student Services Specialist position at Vertisystem?
CLIENT University’s R&DE Graduate Housing Operations team is seeking part-time assistants to work in the Graduate Housing Front Desk offices.
The serve as an information, service, and problem-resolution resource for residents, conference guests, and Student Housing staff. The team provides year-round support for CLIENT students and the broader CLIENT Community.
Duties and Responsibilities :
The assistant will perform a variety of tasks, including but not limited to :
- Customer Service :
o Greet students, staff, and guests upon arrival.
o Answer phones and respond to inquiries, escalating to the Front Desk Supervisor (FDS) when needed.
o Provide assistance to students with lockouts by issuing temporary building access cards or board keys.
o Notify students of misdirected mail via email.
o Send out mass email notifications.
o Learn and relay complex housing policies and procedures to residents and guests.
o Sign out and track equipment (e.g., hand trucks, vacuums) in respective logs.
o Check students in and out using registration cards.
o Prepare keys and other check-in materials under the direction of the FDS.
o Provide office coverage during lunch hours and meetings.
o Assist with regular key inventories.
o Submit work orders, rekey requests, and maintenance requests in the system.
o Support the FDS with quarter-opening and closing duties.
Skills and Qualifications
o Friendly, welcoming presence with strong email, phone, and in-person communication skills.
o Hotel Front Desk / Concierge experience is a plus.
o Ability to interact effectively with individuals and groups from diverse backgrounds.
o Must be computer-literate and able to learn new systems quickly.
o Focused and detail-oriented with excellent organizational skills.
o Ability to work efficiently in a fast-paced environment with frequent interruptions.
