Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant/Bookkeeper to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. The ideal candidate will also be responsible for maintaining accurate financial records, and providing essential support to our financial operations.
Duties
- Greet clients and visitors warmly, ensuring a positive first impression.
- Manage phone calls with excellent phone etiquette.
- Manage the front desk operations, including scheduling appointments and maintaining the calendar.
- Handle correspondence and communication effectively, both in person and electronically.
- Maintain a clean and welcoming office area.
- Maintain organized filing systems for documents and records to ensure easy access and retrieval.
- Maintain accurate financial records, including accounts payable, and accounts receivable.
- Prepare and process invoices, receipts, and payment transactions.
- Utilize QuickBooks for daily transactions.
- Reconcile bank statements and ensure all financial discrepancies are resolved in a timely manner.
- Assist with payroll related reporting.
- Assist in preparing for audits and ensure compliance with financial regulations.
- Maintain organized records of all financial transactions and documentation.
Qualifications
- Previous experience as a bookkeeper or in a similar role, in the construction or plumbing industry is preferred but not required.
- Familiarity with QuickBooks is preferred.
- Proficient in computer software applications relevant to office management.
- Proficiency in account reconciliation.
- Strong attention to detail and accuracy in financial reporting.
- Strong organizational and time management skills.
- Strong communications skills, both written and verbal.
- Ability to work independently as well as part of a team.
- Ability to handle sensitive and confidential information with integrity.
- A friendly demeanor with a commitment to providing outstanding customer service.
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
Expected hours: 32 – 35 per week
