Vessel is growing rapidly, with scores of projects in planning, and we’re looking for an exceptional Executive/Personal Assistant to join our team.
This isn’t a passive, “take notes and follow directions” type of role. We’re looking for someone energized by being two steps ahead: suggesting changes to the calendar, flagging scheduling conflicts before they become problems, preparing agendas before meetings, and ensuring the CEO is always where he needs to be with what he needs to succeed.
\n- Manage and optimize the CEO’s complex, fast-moving calendar - proactively identify scheduling conflicts or inefficiencies and suggest thoughtful alternatives
- Prepare agendas for meetings in advance and ensure the CEO is briefed and ready
- Sit in on meetings to take notes, summarize key decisions, and track action items
- Follow up independently on outstanding tasks and ensure timely completion of next steps
- Surface urgent issues and keep the CEO focused on what matters most
- Take initiative to support the CEO’s personal needs (e.g., travel coordination) with care and anticipation
- Maintain a pulse on internal and external meetings, ensuring priorities are aligned and time is protected
- Communicate with clarity and professionalism on behalf of the CEO, both internally and externally
- Bring structure and calm to a high-velocity, constantly evolving environment
- Bachelor’s degree and 4 years of experience as an Executive or Personal Assistant supporting a founder in a fast-paced startup environment
- Proven ability to manage complex, high-volume calendars and proactively solve logistical challenges
- Strong written communication skills with experience preparing agendas, meeting recaps, and action-oriented follow-ups
- Demonstrated intellectual agility and proactive instincts; consistently anticipates needs and acts with minimal direction
- Takes initiative with confidence and exercises sound judgment while maintaininga high level of discretion
- Comfortable navigating ambiguity and offering thoughtful suggestions in evolving situations
- Quick to learn new context, adapt to changing priorities, and stay aligned with strategic objectives
- High emotional intelligence, professionalism, and the ability to engage effectively with stakeholders at all levels
