VESTAVIA HILLS CITY SCHOOLS
TITLE: Secretary/Registrar
QUALIFICATIONS:
- High school diploma or equivalent.
- Successful experience working with children.
- Meet background clearance requirements as specified by Alabama statutes and State Board of Education regulations.
FLSA: Non-exempt
REPORTS TO: Principal
TERMS OF EMPLOYMENT:
Salary and benefits shall be paid consistent with the system’s approved compensation plan.
Length of the work year and hours of employment shall be those established by the system.
REQUIRED DUTIES AND RESPONSIBILITIES
- Types correspondence, answers phone, copies, and performs other secretarial tasks as assigned.
- Handles correspondence for principal and assistant principal.
- Prepares and sends student transcripts to enrolling school and colleges if assigned.
- Assists bookkeeper with collecting and receipting money.
- Assists teachers with instructional supplies.
- Assists school visitors.
- Handles attendance reporting, including daily and monthly and end-of year reports if assigned.
- Processes student transfer and withdrawals if assigned.
- Maintains cumulative folders on each student if requested.
- Compiles State Department of Education and Federal Reports.
- Assists in maintaining the security of records, materials and equipment.
- Collects and processes data for State Department of Education reports, if assigned.
- Communicates effectively with the staff members, students, parents, adminstrators and other contact persons using tact and good judgment.
- Disperses medications according to system policies and procedures, if assigned.
- Maintains confidentiality regarding school/workplace matters.
- Participates successfully in the training programs offered to increase skill and proficiency related to assignment.
- Keeps supervisor informed of potential problems or unusual events.
- Responds to inquiries and concerns in a timely manner.
- Prepares all required reports and maintain all appropriate records.
- Participates in cross-training activities as required.
- Assumes other reasonable and equitable job-related duties as assigned by the immediate supervisor.

- Ability to relate to and work with students and adults in a positive manner.
- Effective oral and written communication skills.
- Basic English and mathematics skills.
- Ability to follow written and verbal instructions.

EVALUATION:
Performance of this job will be evaluated in accordance with the provisions of the Board’s policy on the evaluation of personnel.
