Proposal Coordinator
Part Time: 15-20 hours per week with potential to become Full Time
90% Remote

VFI seeks an experienced, professional Proposal Coordinator on a part-time basis to support the development and submission of high quality, responsive, and timely bids and proposals in response to Requests for Proposals (RFP), Requests for Information (RFI), Sources Sought Notices, and general inquiries.
The Proposal Coordinator reports to the Proposal Manager and will coordinate and schedule meetings, create and manage response documents and databases, and format and produce final proposals. The Proposal Coordinator will write, proof, and edit proposals to align with the client’s requirements. The Proposal Coordinator will collaborate with various departments and stakeholders within the company as well as with external partners.
This position is 90% remote within the U.S. Occasional travel to VFI’s corporate headquarters and/or partner facilities may be necessary.
Authority/Clearance:
Ability to obtain security clearance is required. Must be a U.S. citizen and pass a background check.
Proposal Coordinator Duties, and Responsibilities
- Researches, writes, and edits technical material for proposals.
- Brainstorms with internal and external stakeholders on solutions and strategies.
- Develops and captures corporate solutions and processes as part of proposals and Government market research/requests for information.
- Drafts and reviews materials for clarity, consistency and responsiveness to requirements
- Interviews subject matter experts to develop compelling technical content.
- Leads and participates in review sessions to gather internal and external stakeholder feedback on proposals.
- Leads responses to Requests for Information (RFI) and Sources Sought Notices.
- Provides support for proposal artifacts and documents as directed by the Proposal Manager, such as resumes, templates, Excel spreadsheets, storyboards, worksheets, outlines, assignment lists, marketing and website blogs, and other deliverables.
- Compiles and incorporates reviewer feedback into documents.
- Maintains calendar of internal and external deadlines.
- Manages proposal artifacts, documents, templates, and marketing materials in the proposal archive, MS SharePoint, and other databases.
- Effectively multi-tasks and prioritizes work tasks based on internal and external deadlines.
- Edits and proofreads documents to ensure proposals are compliant with requirements, free of mistakes, and read in one voice.
- Provide quality review of proposal materials including formatting, look and feel, grammar and spelling editing, figure and table numbering, etc.
- Coordinate with Graphic Designer to manage proposal graphics, facilitate meetings between Graphic Designer and subject matter experts for graphic development, and facilitate quality control of graphics.
- Takes and distributes notes to team following phone calls, conferences, and meetings.
- Contributes content for posting on VFI’s social media accounts.
- Designs, formats, edits, and produces documents to have a polished look and feel.
- Develops, maintains, and updates baseline content and template documents in proposal database.
- Contributes to corporate processes and the company’s style guide.
Qualifications
Knowledge, Skills, and Abilities Required:
- Bachelor’s Degree required with a preference in a relevant liberal arts field such as Journalism, English, Communications, Political Science, History, Sociology, or Marketing.
- At least 3 years of job relatable experience.
- Minimum 1 year of Federal Proposal Experience, with cursory knowledge of the Federal Acquisition Regulation (FAR) and the Federal procurement process.
- Strong writing and editing abilities and the ability to distill complex subject matter into clear, concise content.
- Strong written and verbal communication skills.
- Excellent proofreading skills and attention to detail.
- Self-motivated individual with the ability to be resourceful and solve problems.
- Strong coordination, planning and scheduling abilities.
- Ability to handle multiple projects and prioritize accordingly.
- Experience and comfort utilizing tools such as MS Teams, SharePoint, Visio, Adobe Acrobat, and others. Proficiency in Microsoft Office suite.
- Graphic design experience desired.
- Knowledge of ISO 9001:2015 and other quality standards.
Software Proficiency Desired:
- Microsoft Word, Publisher, Project, Excel, PowerPoint, SharePoint, Visio, Teams, and Outlook.
- Adobe Acrobat
