What are the responsibilities and job description for the Association Education Manager position at Veterinary Emergency & Critical Care Society?
Position Summary:
In liaison with Education Committee, Education Services Coordinator and Vice President of Meetings and Events, assist in managing the delivery of educational courses and content. Implement meetings, courses, webinars, certificates, and other educational programs in collaboration with organization leadership and subject matter experts. Serve as a liaison to councils and committees as assigned. Manage education data from conception through final reporting. This position does not require and is not responsible for sales.
Reports To: Vice President of Meetings and Events
Moderate Contact:
· Director of Membership and Marketing, Controller, Exhibits Manager, Membership and Registration Manager, CEO, Meetings and Events Coordinator
· Board of Directors
External Contact:
· Extensive interactions with members, committee members and Speakers (both members and non-members)
· Contact with affiliate organizations e.g., American College of Veterinary Emergency and Critical Care and RECOVER
· Suppliers
Duties and Responsibilities: (in no particular order)
1. Content Delivery
- Manage the online learning management system.
- Manage the education calendar. (Webinars, labs, etc)
- Manage completion of education logistics and content distribution
- Research best practices for education in associations and the veterinary industry and apply to education offerings.
2. Meeting Planning
- Make sure the release for calls for presentations goes out on time.
- Create Session evals, overall evaluation and compile data for speakers for all non IVECCS events
- Oversee planning and implementation of the VECCS Power of Ten Leadership Academy and other education events at the VECCS Office, including scheduling and curriculum
3. Continuing Education (CE) Management
- Manage RACE applications
- Manage reporting of CE attendance and certifications
- Ensure accurate and timely communication of CE credits for attendees
4. Lab Logistics
- Work with coordinator(s) and be the office liaison for all lab logistics for IVECCS and other meetings
- Order supplies and cadavers that are requested by coordinator(s)
- Work with the coordinator(s) and team to keep inventory
- Help recruit and schedule lab help for IVECCS
- Serve as the main point of contact for lab supply donations and communications, coordinating equipment needs for educational labs and arranging transportation.
5. SVECCS
- Work with the students (SVECCS) to grow relationship and manage education needs
- Set up webinars for SVECCS and work with the instructors
- Work with sponsors to develop student initiatives
6. Proceedings
- Set up Manuscript site with Omnipress
- Proof Manuscripts and make sure they are all in the right format
- Oversee the manuscripts becoming the proceedings and make sure all components are finalized and sent to the appropriate vendor
- Compile MDR Manuscripts and send to Marketing for printing
7. Committee work
- Work on Committees as assigned

Job Specifications:
Bachelor's degree preferred; Associate degree required.
Skills Necessary:
Demonstrate proficiency with personal computer word processing software (Microsoft Office Suite, Google Workspace). Proficient understanding of spreadsheets, information management and databases required. Professional verbal and written communication skills to include customer service-oriented outreach and follow up. Accurate spelling and typing; proficient typing speed (45-55 words per minute). Excellent organization and analytical skills as well as the ability to adapt to a variable workload and function in a deadline-oriented environment. Be able to work as a team member, accepting change as we problem solve and keep the goals, members, and mission of VECCS at the forefront of our minds.
Experience:
Minimum of four years related experience with problem-solving, databasing, customer service or a combination of relevant experience and education. Experience with computer functions required.
Supervision Received:
Responsibility for determining own work methods. Intermittent check on work methods and work products. Regular updates to Vice President of Meetings and Events on assigned projects and duties.
Supervision Exercised:
May provide training and instruction to other employees or temporary employees on standard operating procedures of the department.
Travel:
Two to four times per year, including weekends. For VECCS Annual Symposium (IVECCS), which is 5 days in September or October, you will be required to travel up to 10 consecutive days, typically including a commitment of evening and weekend work. Duties assigned during IVECCS may be related to your job description or assigned as needed to produce a successful event. Conference-related tasks may include long days on your feet, lifting, packing, walking, etc. In addition, the person in this position may be asked to attend conferences around the country as an exhibitor to promote VECCS or as an attendee for Continuing Education.
