WHO WE ARE LOOKING FOR
Project Coordinator, Operations
The Project Coordinator will play a crucial role in supporting the successful execution of various projects within the Pharmacy Operations team. This role will involve close collaboration with team members to manage tasks, organize documentation, and ensure efficient project completion. The ideal candidate will be a self-starter, highly organized, and detail-oriented with excellent communication and problem-solving skills.
This is a full-time, hybrid role. When working onsite, this role will be located at our Portland, OR Pharmacy.
WHAT YOU'LL DO
- Manage tasks and timelines for multiple pharmacy operations projects, ensuring deadlines are met and progress is tracked effectively
- Maintain comprehensive documentation for projects, including organizational structures, roles and responsibilities, and standard operating procedures (SOPs) for industry best practices
- Utilize project management software (e.g., Monday.com) to track project progress, assign tasks, and facilitate team communication. Ensure all project data is accurately recorded and accessible for stakeholders
- Contribute to the development and maintenance of a knowledge base for Pharmacy Operations, ensuring all relevant information, resources, and documents are readily accessible, current, and organized for internal stakeholders
- Stay informed on the Pharmacy Operations team’s workflows, priorities, and ongoing changes to ensure seamless coordination and project alignment. Demonstrate a proactive approach to understanding evolving needs and process improvements
- Provide administrative assistance to the VP of Pharmacy Operations, handling various tasks that support project success and operational efficiency, as needed
- Occasional travel may be required to support project activities, visit pharmacy operations sites, or attend relevant meetings and conferences to advance project goals
WHAT YOU BRING
- Associate’s degree or equivalent work experience in a related field
- 2 years experience in a project coordination, administrative support, or similar role
- Proven experience in leading and executing projects utilizing project management principles and project management software (e.g., Monday.com, Trello, Asana), Google Suite, Microsoft, LucidCharts, or equivalent tools
- Strong interpersonal skills with the ability to build and maintain strong relationships across diverse teams and stakeholders at all levels of the organization
- Proven ability to handle multiple tasks efficiently while meeting deadlines and maintaining high-quality standards
- Excellent written and verbal communication skills, with a focus on clarity, professionalism, and attention to detail in all correspondence, reporting and deliverables
- Proactive problem-solving skills, with the ability to anticipate challenges and recommend solutions
Preferred Experience and Qualifications:
- Familiarity with pharmacy operations and related regulations (i.e., OSHA, pharmacy laws, etc.)
- Experience with process improvement initiatives
- Project Management certification or coursework in project management
WORKING CONDITIONS:
- This is a hybrid position requiring a combination of in-office and remote work
- Reliable internet access is required
- Environment where dogs are present if in the office
- Sitting/standing at a desk working on a computer for long periods of time

Pay range (US based applicants): $26.70 - $33.37 / hour
Actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to job-related skills, experience, certifications, relevant education and training, while also considering internal equity.
