What You Will Be Doing:
As the Regional Parts and Service Coordinator, you have a skill set that combines attention to detail, multi-tasking, speed, accuracy, and above-average customer service skills. You can efficiently perform your duties as an individual or a member of a larger team.
In this role, you rely heavily on your time management skills and the ability to pivot as needed to change priorities. You will utilize Microsoft Excel, Word, Outlook, and our ERP Acumatica to receive, locate, ship and cycle count inventory parts, produce parts and service quotes, enter service work orders, and coordinate needed parts and supplies for the warehouse and field service team. In addition, you will supervise the Warehouse Associate. These duties are to be performed incorporating Viably quality and productivity standards.
Key Responsibilities Look Like:
Warehouse:
- Operate lift trucks or hand trucks to convey, move, or hoist materials to proper departments or areas.
- Operates PB crimp tools for crate packaging and securing outbound parts orders.
- Unpacks, examines and routes incoming shipments. Rejects damaged items, records shortages, and initiates contact with the shipper to rectify damages and shortages. Receives and processes all defective parts returned for replacement or credit.
- Receive and locate incoming stock parts in the correct bins.
- Maintains inventory of shipping materials and supplies.
- Performs all computer functions necessary to track various aspects of goods.
- Supports the shipment of goods received and supplies to be used in or to aid in the production/storage of goods destined for sale to our customer base.
- Responsible for arranging pick up by the carrier specified on the customer’s purchase order.
- Reports defective materials or questionable conditions to the department supervisor.
- Responsible for keeping an adequate supply of shipping materials.
- Maintains the work area and equipment in a clean and orderly condition and follows prescribed safety regulations.
- Perform Daily inspections of all lift trucks.
Parts and Service Logistics and Coordination:
- Work closely with the Product Support Representative
- Assure proper parts and supplies are available for scheduled service jobs.
- Produce Parts and Service Quotes and Work Orders
- Schedule and assign Service Technicians to various service jobs
- Prepare and close Work Orders to ensure accurate and timely invoicing
- Track and monitor Parts and Service Orders to ensure prompt and accurate fulfillment of orders.
- Follow up on Parts and Service Quotes with a focus on moving quotes to sales orders.
Yard:
- May be required to make pick-ups and deliveries to our suppliers or local customers using a company truck.
- Basic machine operational knowledge for locating and maneuvering machines stored on the property.
Supervision:
- Provide guidance, direction, and supervision to Warehouse Associate
Critical Skills and Experience You’ll Need:
- Minimum of a high school education and three years experience in shipping and receiving, customer service, and/or sales experience.
- Ability to read and write English, follow verbal instructions, and use simple math.
- A valid driver’s license and a good driving record.
- Licensed forklift truck operator.
- Proficiency in using Microsoft Office products, i.e. Outlook, Excel, PowerPoint, Word, etc.

Physical Demand & Competencies:
- This position requires sitting, stooping, kneeling, pushing, climbing, moving, and reaching/working overhead.
- Ability to safely lift 60 lbs.
- Ability to operate a forklift safely.
- This position is exposed to work near moving mechanical parts, hazardous materials, and moderate noise levels. Appropriate PPE gear must be worn as required.
- Must be able to pass a pre-employment WorkSTEPS physical.
- Requires passing a pre-employment background check and drug screen to the satisfaction of Viably
- Must possess a clean MVR & valid Driver's License
- This job requires the ability to obtain a DOT Medical Certification.
