What are the responsibilities and job description for the Administrative Assistant position at Victory Church?

Reports to: Executive Pastor  

 

Position Description: The Administrative Assistant position exists to provide professional level administrative support for the ministry departments of Victory Church. This person handles day-to-day clerical, administrative and other office duties. This person represents the Lead Team to the staff and congregation, and can clearly communicate both the content and the heart of their decisions in a professional and sensitive manner. The person’s primary duty includes the exercise of discretion and independent judgement with respect to matters of significance.

 

Proficiencies: Strong personal communication skills, attention to detail, and the ability to manage competing priorities are essential to succeed in this fun, fast-paced, constantly evolving environment. On our team, a passion for ministry, “do whatever it takes” attitude and desire for excellence are the norm! Successful members of our team are self-starters, able to work independently and with a team to accomplish the larger goal. 

 

Requirements:

 -High school diploma or GED (college degree preferred)

 -Minimum 2 years of experience in an administrative position

 -General proficiency with Mac applications, Church Community Builder, Basecamp, etc

 -Detail oriented, with advanced writing and grammar skills

 -Strong written, phone, and interpersonal communication skills 

- Positive, patient, friendly and professional attitude and demeanor

 -Trustworthy, able to anticipate needs without oversight, focus on tasks at hand & efficient   

   follow through

 -Must agree with and represent Victory Church’s Statement of Faith

 

 Position Responsibilities:

-Assist with expense reports, check requests, deposits, and other administrative tasks.

-Manage church calendar

-Book travel for pastoral staff as needed

-Help plan and execute special events including the preparation of resources and

  materials, set up/tear down of events, promotion, registration, follow-up, etc.

-Manage Church Community Builder database

-Periodically manage reception desk

-Serve as an active member of the church congregation by attending services, small  

  groups and other church events

-Manage weekly shopping for departments/events/office needs, etc.

-Manage weekly assimilation process for first time guests

-Maintain spreadsheets to track numbers for services and special events

-Complete assigned Process Queues in Church Community Builder 

-Prep and maintain volunteer manuals and job descriptions

-Assist with the volunteer schedule for Sunday/Wednesday services and other events

-Communicate with volunteer team leaders as needed to ensure objectives are met

-Order food as needed for meetings and special events

-Perform other duties as best fits the needs of the Pastoral Leadership Team
