Role: Account Coordinator
Reports To: Senior Account Director; Executive Director of Client & Creative Services
Employment Type: Full-Time
Job Location: Basking Ridge, NJ (Hybrid)
Essential Responsibilities:
- Support Client Accounts by serving as a key point of contact, ensuring clear and timely communication between internal teams and clients.
- Manage Project Timelines by assisting account managers in overseeing deadlines, deliverables, and budgets for multiple projects.
- Collaborate Across Teams by working closely with creative, editorial, digital, medical, and strategy teams to ensure flawless execution of campaigns.
- Conduct Market Research by gathering insights, industry trends, and competitive intelligence to inform client strategies.
- Prepare for Meetings and Document Actions by organizing client meetings, drafting agendas, taking notes, and tracking key takeaways and follow-ups.
- Ensure Quality & Compliance by assisting with the internal review of marketing materials for accuracy and consistency with brand guidelines and industry standards, in preparation for submission into client Medical/Legal/Regulatory (MLR) review systems.
- Provide Administrative Support by assisting with proposals, research, budget tracking, and other operational tasks to maintain smooth account management.
Experience & Skills
- 1–3 years of experience in account coordination, marketing, or a similar role (pharmaceutical or healthcare experience is a plus).
- Strong organizational skills with the ability to juggle multiple projects in a deadline-driven environment.
- Excellent communication and problem-solving skills with a team-first mindset.
- A keen eye for detail and a proactive approach to managing tasks and responsibilities.
- Bonus points if you have art and/or graphic design skills.
Technical & Computer Skills:
- Expertise working in an Apple/Macintosh computer environment.
- Solid knowledge of Microsoft Office Suite (Excel, PowerPoint, Word).
- Proficiency in Apple software (Numbers, Keynote, and Pages).
- Bonus points for knowledge of Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat).
- Experience with project management tools (e.g., Asana, Monday.com, Wrike, etc.) is a plus.
- Familiarity with CRM platforms (e.g., Sharepoint, Filemaker, Outreach, etc.) is a bonus.
- Familiarity with Veeva Vault is a plus.
- Basic knowledge of digital marketing platforms (Google Analytics, email marketing tools, etc.) is advantageous.
