We are looking for an experienced Executive Assistant to join our team to support our CEO.

POSITION OVERVIEW:
- This is a full-time role, reporting to our CEO. For this role, you'll need to live in or near San Antonio, TX, and be willing to work from our home office 1-2 days per week and be able to work from home 3-4 days per week. Typical hours for this role are 9:30 am - 5:30 pm, Monday-Friday. We will begin with more in person time to get you up to speed.
MISSION:
- The mission of the Executive Assistant is to stay five steps ahead of their leader, tracking all of the administrative details, and clearing the path for them to make their greatest contribution to our business. The Executive Assistant will be a key asset to the CEO by anticipating needs at an exceptionally high level, allowing them to develop vision and strategy for all aspects of View Imaging such that the company can meet its growth goals.
- While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the CEO’s needs and the needs of the business. The most important responsibility of the Executive Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity to support the initiatives of the CEO.
RESPONSIBILITIES:
The Executive Assistant will have the following primary responsibilities:
- Meeting management including preparing agendas, taking notes, distributing action items, and arranging other aspects of meetings
- Communicating on the CEO’s behalf both internally and externally
- Email management on behalf of the CEO and within the Admin email
- Serve as the Office Administrator
- HR duties as needed
- Handle legal issues as delegated
- Routine finance activities
- Running errands, communicating and scheduling vendors, and managing repairs to the home office as needed
- Attending meetings several times per week, including running the weekly Leadership Meeting
- Complex calendar management and scheduling across many time zones
- Booking travel on behalf of the CEO and others as needed
- Project management, including Team Event Planning (Virtual and in-person)
- Coordinating communication and projects between departments
PROFICIENCIES:
- Knowledge: You will have high attention to detail and accuracy, using your existing experience dealing with management information, your experience supporting leadership executives, and your ground-level understanding of technical terminology to provide informed administrative support. Bonus points if you have been trained in a corporate EA program.
- Quality Communication: You must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly, both in writing and orally regularly. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, Slack messages, and/or emails.
- High Level of Discretion:Since you will regularly work with confidential information, discretion and sensitivity regarding this information is paramount.
- Team Player:In addition to working directly with the CEO, you will also work with members of the Leadership Team and other department heads. You’ll need to be able to collaborate and communicate well with these team members, maintain a can-do spirit, sift through the noise, get to the heart of problems, and identify optimization opportunities.
- Anticipating Needs: As a part of our commitment to enabling our CEO to serve our company and customers at the top of their game, you will strive to anticipate needs and eliminate friction at work whenever possible. This means you know how to stay five steps ahead of your leader, clearing the path for them to make their greatest contribution.
- Affinity for Technology: You will be a technologically savvy Mac user and will not be intimidated by learning new technology. Proficiency in the following tech platforms is ideal: Slack, Zoom, Google Suite, and Wrike. You must display a willingness to learn and adapt within an ever-evolving hyper-growth company. Communication tracking is key!
- Flexibility: You have experience working in a start up environment and understand the unique demands of working in a dynamic and quickly changing organization. You are flexible and adaptable.
