Description
Incumbent serves as Administrative Assistant for the Vigo County Area Planning, responsible for providing secretarial and administrative support to Department staff and assisting the public.
Example of Duties
- Answers telephone and greets office visitors, responding to inquiries, providing forms, information and assistance, taking messages, and/or directing calls to appropriate individual or department.
- Prepares Commission members packets, and properly advertises agenda items, including preparing meeting rooms, attending Area Plan Commission meetings and taking minutes.
- Delivers pertinent packet information to agencies.
- Calls proper agencies for reports, and/or calls clients in regards to subdivision/rezoning, including recording subdivision and rezoning in Recorder’s office, and obtaining proper signatures on original subdivision plats/recordings.
- Compiles information for annual report.
- Performs various clerical duties, including typing, filing, and copying various documents, and maintaining files and filing system.
- Coordinates legal dates/meetings.
- Performs related duties as assigned.
Typical Qualifications
- High school diploma or GED, plus two (2) years work experience or any equivalent combination of education, training, and experience.
- Possession of or ability to obtain Notary Public license.
- Ability to meet all employer and department hiring requirements, including passage of a drug test.
- Working knowledge of standard office policies and procedures and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
- Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and reports as required.
- Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files.
- Ability to operate standard office equipment, such as computer, typewriter, calculator, Dictaphone/transcriber, fax machine, copier and telephone.
- Ability to effectively communicate orally and in writing with co-workers, other County/City departments, Board members, fire department, local utility companies, township trustees, soil conservationist, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
- Ability to provide public access to or maintain confidentiality of Department information and records according to state requirements.
- Ability to comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
- Ability to compare or observe similarities and differences in data, compile, collate, or classify data, analyze and evaluate data, and make determinations based on data analyses.
- Ability to work alone with minimum supervision and with others in a team environment.
- Ability to work on several tasks at the same time and work rapidly for long periods, often under time pressure.
- Ability to plan and layout assigned work projects, and occasionally apply knowledge of people and/or locations.
- Ability to occasionally read and interpret detailed prints, sketches, layouts, specifications, and maps.
- Ability to understand, memorize, retain and carry out oral and written instructions and present findings in oral or written form.
- Ability to count, perform arithmetic calculations.
- Ability to occasionally work extended and/or evening hours.
- Possession of a valid driver’s license and a demonstrated safe driving record.

Incumbent performs duties in a standard office environment, involving sitting/walking at will, lifting/carrying objects weighing less than 25 pounds, bending, pushing/pulling, crouching/kneeling, reaching, close/far vision, color/depth perception, speaking clearly, and hearing sounds/communication. Incumbent occasionally works extended and/or evening hours.
