Purpose of Admissions Coordinator:
The primary purpose of the Admissions Coordinator position is to obtain required information and admit residents in an efficient manner, in accordance with established policies and procedures, and as directed by your supervisor.
This is an on-site/in office position. Typical hours are Monday-Friday 8-5pm in office. This position has every other weekend on call duties that are performed remotely.
Major Duties and Responsibilities:
1. Receive and follow work schedule/instructions from your supervisor and as outlined in our established policies and procedures.
2. Assist in interviewing residents/guardians and obtaining required information and signatures.
3. Assist in the orientation program for residents/personnel in accordance with our established policies and procedures.
4. Admit and prepare identification records for residents in accordance with established policies and procedures.
5. Maintain an accurate record of available beds.
6. Develop and maintain a good working rapport with interdepartmental personnel, as well as other departments within the facility.
7. Notify department head as soon as possible if there is an absence.
8. Obtain the resident/guardian’s signature on all required permits, releases, authorizations, etc.
9. Assist in developing procedures to ensure records are properly completed before filing.
10. Collect, assemble, and check admission papers. Forward to appropriate department.
11. Obtain the resident’s assigned room number. Place on all necessary admission papers.
12. Forward completed medical records to the Medical Records Department as appropriate/needed.
13. Maintain a record of authorized information taken from records, i.e., type of information, name of recipient, date, department, etc.
14. Abstract information from records and pass along to correct personnel as authorized/required from insurance companies, Medicare, etc.
15. Notify nursing personnel when the resident has arrived at the facility to assure that a member of the nursing staff escorts the resident to his/her assigned
room.
16. Explain to the resident and/or guardian room rates, billing procedures, visitor/ guest privileges, restrictions, resident care procedures, etc., as appropriate.
17. Maintain a resident waiting list if necessary in accordance with established policies and procedures.
18. Maintain daily and monthly census report as directed.
19. Assist in maintaining current records of all residents admitted/discharged by this facility in accordance with established policies and procedures as needed.
20. Perform miscellaneous duties and assist business office personnel as required/ directed.
21. Distribute information to appropriate departments for all admissions.
22. Complete Admission Packet with resident or family within 48 hours.
23. Assist in obtaining Social Security, Medicaid, Medicare, and other insurance numbers prior to admission.
24. Assist in completing resident inventory on admission, including marking clothing, glasses, dentures, TVs, radios, etc.
25. Provide tours of the facility to potential residents and families.
Requirements:
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public.
- Must possess the ability and the willingness to work harmoniously with professional and nonprofessional personnel.
- Must possess the ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies, and procedures, etc., that are necessary for providing quality care and maintaining a sound operation.
- Must be able to understand and carry out written and oral instructions.
- Must have patience, tact, a cheerful disposition, and enthusiasm, as well as be willing to handle residents, staff, and visitors, based on whatever maturity level they are currently functioning.
- Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.
- Must be knowledgeable of computers, data entry, output, etc.
- Must possess the ability to examine and verify financial documents and reports.
- Must be able to prepare financial and other records in a systematic, neat, and legible manner.
- Must not pose a direct threat to the health or safety of other individuals in the workplace.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
