The Village of Stockbridge is seeking a friendly, detail-oriented professional to join our municipal team as the Village Clerk. This full-time role offers a unique opportunity to contribute to the day-to-day operations of the Village government and play a vital role in maintaining transparency and compliance through accurate records, reporting, and customer service.
The ideal candidate will have strong organizational and communication skills, familiarity with municipal governance, and financial practices, and a passion for serving the public. This position works under the general direction of the Village Manager and Village Council and will oversee daily operations of the Village office and the staff.
Key Responsibilities
- Serve as Department head for the Village Office and Village Hall.
- Serve as Council Clerk by attending and recording all Council proceedings. (requires evening hours.)
- Maintain official records, including all resolutions, ordinances, contracts, vouchers, financial documents, licenses, and bonds.
- Keep an updated list of all Village property, debts, and liabilities.
- Administer oaths and affirmations as required.
- Manage the general ledger and report financial transactions for approval and collection/disbursement.
- Coordinate and fulfill Freedom of Information Act (FOIA) requests.
- Provide financial reporting to reflect the Village’s condition across departments, funds, and liabilities.
- Maintain a customer-first approach when engaging with residents and stakeholders.
- Support Village office functions and ensure efficient and professional service delivery.
Qualifications
- High school diploma or equivalent required; college coursework preferred.
- Minimum of two years’ of office experience with accounting responsibilities required.
- Experience in a municipal environment is preferred.
- Proficiency in Microsoft Word and Excel required.
- Familiarity with BS&A software or a willingness to be trained.
- Demonstrated customer service and office management skills.
- Ability to multitask, prioritize, and maintain timeliness and accuracy.
Evening availability for Council meetings is required.
