We currently seek an administrative and flexible individual to serve in the role of part-time Civil Service Commission Secretary to coordinate semi-monthly commission meetings, respond to public inquiries and coordinate the civil service hiring process. Under the oversight of the Deputy Village Clerk, this position will work closely with the Civil Service Commission Chairperson and the Civil Service Liaison Village Staff Member.
Key Responsibilities
The Civil Service Commission Secretary will be responsible for the administrative duties of the Civil Service Commission including ensuring that the Open Meetings Act is followed at Village Commission and Committee meetings. They will provide general administrative support to the Civil Service Commission including developing the annual meeting schedule, coordinating special commission meetings, preparing and posting agendas, preparing meeting packets, taking meeting minutes, reviewing meeting minutes for accuracy, and submitting official meeting minutes in a timely manner. Additionally, the Commission Secretary will maintain the Civil Service registers, Civil Service website, coordinate Civil Service Rules & Regulation updates, respond to general Civil Service Commission inquiries, and maintain the Civil Service email box.
This position will also coordinate the hiring process for all civil service sworn patrol officer positions and promotional process for Sergeant positions including preparing application packets, posting job opportunities, engaging and following up on application requirements, preparing offers of employment, coordinating pre-employment testing and other processes, maintaining certification registers, managing third party testing service, and other related duties.
Qualifications, Knowledge, Skills
Associate's degree in business administration, legal studies, or human resources is preferred. A minimum of three (3) to five (5) years of experience in a business, legal, office, or municipal environment is required. Experience with procedural and / or legal processes is preferred. Experience with employment and hiring is also preferred. Familiarity with Open Meetings Act is highly preferred.

Additional Information
This is a part-time support position with irregular hours including required evening commission meetings, generally the 1st and 3rd Monday of the month and office support operations during normal business hours. Must be flexible to complete general administrative duties during normal business hours of 8 : 00am to 5 : 00pm, a consistent schedule will be required. Anticipate an average of 20 hours per week, with periods of less than 20 hours depending on civil service hiring needs.
