Overview
We are seeking a detail-oriented and organized professional to join our team. The ideal candidate will play a crucial role in supporting daily operations through effective clerical and administrative tasks. This position requires strong organizational skills, proficiency in data entry & analysis, and the ability to multitask. Capable of executing all roles and duties set forth in local ordinances and state statues related to the office of the Village Clerk.
Recordkeeping:
- Maintaining and organizing all official village documents, including ordinances, resolutions, contracts, correspondence, and meeting minutes.
- Ensuring proper storage and retrieval of records in accordance with retention policies.
- Providing public access to records as per open records laws.
Elections Administration:
- Overseeing the planning and execution of all village elections, including voter registration, ballot preparation, and poll worker management.
- Certifying election results
Village Board Support:
- Preparing agendas and distributing materials for village board meetings.
- Recording and transcribing minutes of board meetings.
- Distributing Village Board resolutions and ordinances.
Licensing and Permits :
- Issuing and tracking various local licenses and permits
Public Interaction:
- Responding to public inquiries about village records, procedures, and regulations.
- Assisting residents with document requests and applications.
Administrative Tasks:
- Maintaining office filing systems.
- Managing correspondence and mail distribution.
- Performing basic office tasks like copying, scanning, and data entry.
- Oversee and execute quarterly utility billing
- Serve as the deputy treasurer
Required Skills and Qualifications:
- Strong organizational and administrative skills

- Capable of grasping new concepts and applying them quickly and effectively
