Key Responsibilities:
Recruitment & Onboarding:
- Assist with posting job openings for various roles in the facility, including nursing, administrative, and support staff positions.
- Screen resumes, coordinate interviews, and assist in the hiring process.
- Conduct new employee orientation and assist with completing required documentation, such as tax forms, benefits enrollment, and compliance paperwork.
- Maintain accurate records of new hires, terminations, and employee changes.
Employee Records Management:
- Maintain and update personnel files, ensuring accuracy and compliance with federal and state regulations.
- Process employee status changes (e.g., promotions, transfers, terminations) and ensure records are up-to-date.
- Monitor and track employee certifications, licenses, and training requirements specific to the healthcare industry.
Payroll and Benefits Support:
- Assist in preparing and processing payroll, ensuring accurate recording of hours worked, overtime, and leave time.
- Help employees with benefit enrollment, changes, and provide basic support regarding health insurance, retirement plans, and other benefits.
- Maintain confidentiality of employee payroll and benefits information.
Employee Relations & Communication:
- Act as a liaison between employees and HR to address inquiries or concerns regarding workplace policies, procedures, and benefits.
- Support the HR team with maintaining a positive and compliant workplace environment.
- Assist with conflict resolution and employee engagement activities.
Compliance & Record Keeping:
- Assist in maintaining compliance with federal, state, and local employment laws and regulations.
- Ensure accurate filing of mandatory labor law posters, employee safety regulations, and other compliance documents.
- Support the HR department in audits and inspections related to staffing, employee documentation, and legal compliance.
Training and Development:
- Assist in organizing employee training sessions, workshops, and mandatory certifications, ensuring that all employees are up-to-date with required courses.
- Track employee training records and report any gaps in required certifications for nursing or support staff.
General HR Administrative Support:
- Provide general administrative support to HR team members, including scheduling meetings, preparing reports, and assisting with HR projects.
- Manage and maintain HR files, databases, and systems.
- Ensure HR-related documents are stored securely and comply with privacy and confidentiality policies.
Qualifications:
- Education: High school diploma required; Associate's or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Experience: Previous experience in an administrative or HR support role, preferably in a healthcare or long-term care environment, is desirable.
- Skills:
- Strong organizational skills and attention to detail.
- Ability to handle sensitive information with confidentiality and professionalism.
- Knowledge of federal and state employment laws, particularly as they relate to healthcare.
- Proficiency in MS Office (Word, Excel, Outlook) and HR software/systems (e.g., payroll systems, applicant tracking systems).
